Unsynced bills before day end
What it means when the Day End screen lists POS terminals with work not yet sent, or POS terminals not heard from, and the back office says Unsynced bills. Why it matters for the day's figures, how to get the bills through, and when to use Force, on the Windows and the Android POS.
Every POS saves its bills on the device first and sends them to the cloud after. At the end of the night, the day end closes the business day on the cloud: the day's sales, the Z reading with every POS in it, and the reports are made from what the cloud holds at that moment.
So before you close the day, every POS's bills should have reached the cloud. When one has not, the Day End screen and the back office say so. This guide says what they show, why it matters, and what to do.
Before you start
- You run the day end at the Main POS, as always. Nothing in this guide needs the back office: it only shows you the same warning.
- Have each POS of the outlet switched on, with FooodPos open.
What you see
On the Day End screen
POS terminals with work not yet sent
POS terminals not heard from
- POS terminals with work not yet sent: each POS that told the cloud it still holds unsent bills, with how many: T02 · 3 waiting, and Closing now would leave those bills out of today. While this section is there, Close the day is grey.
- POS terminals not heard from: each POS the cloud has not heard from for more than 15 minutes, with how long: 2 hours ago, and Its bills may not all be here: they land on this day when they arrive. A POS that is off cannot say what it holds, so this is only said, never held against the day end. It may simply be a spare POS switched off for the night.
- Force: closes the day all the same. It shows only while a POS has unsent work.
- What Force does, under it. On Android the button is Force it closed, in red, and the words are Forcing closes the day while another POS still has work it has not sent. Its bills land on the day they were rung when they arrive.
- Refresh: asks the cloud again. Press it after a POS has sent its work: the section goes.
In the back office
Good evening, Siti
HQ · Business day 23 Oct
Day end
- Day end: the box on Today at a glance that says whether each outlet's day is ready to close.
- 1 terminal(s) have unsynced bills: the blocker, in the words the POS uses.
- Unsynced bills. in red: which POS, and how many bills each holds, here T02 (3).
The back office never closes the day: it only shows the warning. See Today at a glance.
On the POS that holds the bills
That POS shows the amber 3 unsynced chip on its table screen, and usually the amber line Could not reach the server — working from the cached menu. See The internet is down.
Why it matters
The cloud makes the day's figures from what it has when the day is closed. A bill still on a POS is not in them yet.
- Nothing is lost. The bill stays on its POS and goes to the cloud when it can. It keeps the day it was rung, and lands on that day when it arrives.
- But the day's figures change after. The Z printed at the day end, and the reports read that night, do not have those bills. When they arrive, the cloud's figures for the day grow, and no longer match the paper.
That is why the POS asks you to get the bills through first, and only lets you Force when you mean to.
What to do
- Read the names in POS terminals with work not yet sent, such as T02.
- Go to that POS. Look at its table screen: the amber chip, such as 3 unsynced.
- If it shows the amber line or No network on its status bar, bring it back on the internet (its cable, its Wi-Fi, the router). See The internet is down.
- Tap its unsynced chip (or 🔄). The count goes down to nothing as the bills go.
- If the count does not move with the internet up, look on that POS for This sign-in has expired.: sign in again there, and the bills go.
- Back at the Main POS, press Refresh on the Day End screen. The section goes, and Close the day works.
- Close the day as usual.
For a POS listed under POS terminals not heard from:
- If it is a spare POS switched off for the night with nothing rung on it, close the day: nothing is missing.
- If it was used today, switch it on and open FooodPos. Let it reach the cloud (its unsynced chip goes to nothing), then press Refresh on the Day End screen.
When to Force
Force only when the POS with the bills cannot be brought back tonight: it is broken, it is at another site, or its internet will not come back. Then:
- Press Force (Android: Force it closed).
- On Windows, the POS asks Force the day closed? with the words under the button. Press OK. Android closes at once.
- The day closes. The bills on that POS stay on it and are not voided.
- When that POS is back on the internet, its bills go to the cloud and land on the day they were rung.
When a bill is also still open (a table not paid yet), Close the day stays usable: it warns about the open bill first, such as 1 bill is not paid yet: T5. It stays open and carries over to the next day., and its Continue closes the day over the unsent work too, as Force would. Read the sections before you press it.
While any POS has unsent work, Close the day is grey, whatever else is open, and Force it closed is under it.
