A PIN signs a POS user in at the POS by itself: they key in their PIN and press Sign in, with no staff code. It is the quickest way in, and it works with no internet.

Because the PIN alone says who the person is, no two people in the restaurant can have the same PIN. A person may have several PINs, up to ten, each with a name of its own if you like (for example one for the night shift).

PINs are set on the PIN tab of the person's window in POS users. Each change there is saved at once, apart from the Save of the Details tab.

Before you start

  • You need Users, Edit in your back office access group, and you must be allowed to change this person.
  • The person must be saved first. On a new POS user the tab says Save the person first, then add PINs. See POS users.

Open the PIN tab

  1. In the menu, under MASTERS, click General Setup, then User, then POS users.
  2. Click Edit on the person's row.
  3. Click the PIN tab.

The tab, part by part

The PIN tab: the person's PINs, never their digits, and a way to add one more.
  1. The line at the top: why PINs must all be different.
  2. A PIN's name: the name given to it, or PIN 1, PIN 2 by its place when it has none. With no PIN at all, the tab says No PIN yet. Siti Aminah signs in at the POS with the POS code and password.
  3. Its badge: Works on every POS (green), or Needs the next POS update (grey): This POS user's first PIN is on every POS today. Further PINs are kept here and start working at the POS when the POS apps are updated. A red Shared: give a new one means somebody else has the same PIN.
  4. How long it is and who added it when: for example 4 digits · Added 9 Oct 2026 by Ah Seng. The PIN itself is never shown.
  5. Remove: takes this PIN away. The person's other PINs, POS code and password go on working.
  6. Name for this PIN: optional, up to 50 characters, such as Night shift.
  7. PIN: the digits, 4 to 30 of them. Only digits can be typed; they show as dots.
  8. Repeat PIN: the same digits again. It can be typed once PIN has something in it.
  9. Add PIN: adds the PIN typed in the two boxes. The big green SAVED says PIN added.
  10. Or make one up: how many digits a made-up PIN has: 4, 5, 6 (the default), 8, 10, 12, 16, 20 or 30 digits.
  11. Generate: FooodPos makes up a PIN of that length that nobody else has and that is not too easy, and shows it once. See Let FooodPos make up a PIN.
  12. The rules: digits only, 4 to 30, and different from everybody else's.

Add a PIN you choose

  2. Type the PIN, for example 4826, and the same in Repeat PIN.

A made-up PIN, shown once.

The PIN is kept nowhere for you to read again. It also goes from the screen when another PIN is added or the window is closed. If it is lost, remove it and make another.

Remove a PIN

  1. Click Remove beside the PIN.
  2. The back office asks Remove Night shift of Siti Aminah (POS code S01)? and says It stops signing them in at the POS. Their other PINs, and their POS code and password, go on working. Click OK.
  3. The PIN leaves the list, and the PIN column of POS users counts one fewer.

Signing in with a PIN at the POS

On the POS's sign-in screen, the person keys in a PIN and presses Sign in. Windows and Android show the same pad. The POS checks the PIN itself, so it works without the internet.

The PIN pad of the sign-in screen: the PIN alone, no staff code.
  1. PIN: the PIN, shown as dots. Key in your PIN. No staff code needed.
  2. Clear: empties the box. ⌫ takes the last digit off.
  3. Sign in: or Enter. A PIN can be any length from 4 to 30, so the POS never signs in by itself at some length.
  4. Use a password instead: the staff code and password boxes.

See Sign in with the PIN alone.
