- What if…
Every POS prints the same Standard receipt until you give it another one. In Print Formats you make a receipt of your own: what prints, how big, how bold, in what order, with your logo, and in which letter style. You see the paper change as you work.
The Standard itself cannot be changed. You copy it, change the copy, and then tell your POS to print by it.
Before you start
- Only an Administrator or a Manager sees Print Formats in the menu.
- To put your logo on the receipt, the outlet needs a logo. See Put your logo on the receipt.
- Have a POS with its receipt printer near you, to print a test receipt at the end.
Open Print Formats
- In the back office's menu, under MASTERS, click General Setup, then Print Formats.
- The tab Receipt is open. Each tab is one kind of paper.

- Print Formats: under MASTERS, in the General Setup category.
- The paper tabs: Receipt, Bill, Kitchen slip, Master slip, X reading, Z reading, Deposit slip, Invoice, Payment receipt, QR ordering and Kiosk slip. This guide is about Receipt; the others work the same way.
- Copy on the Standard row: starts a format of your own from the Standard. This is where you begin.
- Status: Default is the one every POS prints when its setting chooses nothing. Active is a format that can be chosen. Switched off is one that is not used any more.
- A format of your own has Edit, Copy, Make default and Disable. See Change, copy or switch off a format.
The Changes column counts how many parts differ from the Standard. Used by says how many POS terminal settings print by the format.
Make your own receipt
- On the Standard row, click Copy. The window New receipt format opens, with the Standard's parts already filled in.
- In Code, type a short code (up to 20 characters), such as RCPT2. Name starts as My receipt: change it to a name you will recognise, such as Receipt with logo. Both are needed.
- Change the parts you want, as the rest of this guide shows. The sample on the right changes as you work.
- Click Save.

- Code: a short code for the format, up to 20 characters. It shows in lists.
- Name: the name you choose it by, up to 100 characters.
- Base size: the size of every part left at Normal: Small (more fits), Normal or Tall (easier to read). − and + step it.
- Letter style: the letters of the whole paper. Standard is the plain letters every device has. The list shows each style in its own letters, under On every device and More styles. See Letter styles.
- Line spacing: Compact, Normal or Airy.
- The part tabs: the paper in five parts, top to bottom (here Title and details is open): Top (the logo and the outlet's details), Title and details (RECEIPT, the bill number, the table…), Items, Money (down to the TOTAL, the payments and the change) and Bottom (when it was paid, the cashier, the footer).
- A part, such as Bill number: its tick says whether it prints. Untick it to leave it off the paper; its name is struck through. A few parts show a warning while unticked, saying what is lost without them.
- Size: Small, Normal, Tall, Wide, Big, Huge, then ×4 (four times), ×5 and ×6. − and + step it.
- Bold: prints the part in bold.
- ⠿: the grip in front of each part's tick. Drag a part by it to move it up or down.

- Reset to the Standard: puts every part back as the Standard prints it.
- 58 mm / 80 mm: the width of the sample paper; it opens at 80 mm. Choose your printer's.
- Sample: the bill the sample shows, such as A dine-in sale paid in cash, with change. Try a few: a refund, a member's bill…
- Demo Kitchen's own header (with your outlet's name): draws the sample with your outlet's real name, address and logo.
- The bar of the chosen part: click a part on the sample to choose it. The bar then sets where it sits (Left, Centre, Right), Same line as the one above, its size, Bold, its own letter style, Hide / Show, Move up and Move down.
- The sample paper: the layout both POS apps print, drawn as the paper. The chosen part is outlined. Drag a part on it to move it.
- Save: saves the format. Until it is chosen for a POS, nothing prints differently.
Change a part
- Click the tab the part is in, for example Top.
- To leave it off, untick it. To print it, tick it.
- To make it bigger or smaller, choose a Size, or press − or + beside it.
- To make it bold, tick Bold.
Add a detail the Standard does not print
- Click the tab where the detail belongs, for example Items.
- At the foot of the tab, click + Add a field. The list shows each detail with what it prints and, after Prints:, where on the paper.
- Click one, for example Item count. It joins the list with a small added label, and appears on the sample.
- To take it off again, press its Remove.
Details you can add include the Pending (SP) number, the Refund or void reason, the Area / floor, Opened by, the POS, the customer's name and phone, the Item code, the Unit price, the Item count, the Payment reference and the Date and time printed.
Move and line up parts on the sample
- On the sample paper, click the part. It is outlined, and the bar above the sample names it.
- Choose Left, Centre or Right.
- To print it at the right end of the line above it, tick Same line as the one above. When the two do not fit on one line, it takes its own line, on the right.
- To move it, drag it above or below another part, on the sample or by its ⠿ in the list. Or press Move up or Move down.
- A name, a number, a date, a note or a banner can also go into another part of the paper: press one of the buttons after Put it in:.
Some parts are a label and its value across the whole line, such as Subtotal … 40.90. The bar says a full-width row: it moves, it is not aligned. The money down to the TOTAL keeps the order in which it adds up.
Put your logo on the receipt
The logo is the outlet's own, so each outlet prints its own logo with the same format.
- Give the outlet its logo: Outlet, Outlets, Edit beside the outlet, the Outlet tab, then Receipt. Click Upload a picture, choose the picture, then Save.
- Back in the format, on the Top tab, tick Logo. It reads Uses each outlet's own logo (Outlets → the outlet → Receipt → Logo).
- Choose its size: how wide it prints, from 20% to 100% of the paper's width. 50% (standard) suits most logos. Its height follows the picture.
| Part | Size | Bold | |
|---|---|---|---|
| ☑2 | Logo · Uses each outlet's own logo (Outlets → the outlet → Receipt → Logo) | − 50% (standard) +3 | |
| ⠿ ☑ | *** REPRINT *** banner | − Normal + | ☐ |
| ⠿ ☑ | Outlet name | − Big + | ☑ |
| ⠿ ☐ | Outlet second name | − Normal + | ☐ |
| ⠿ ☑ | Address line 1 | − Normal + | ☐ |
- Top: the tab the logo is on, at its very top, because the logo prints first.
- Logo: tick it to print the outlet's logo.
- The logo's size: its width as a share of the paper's.
Letter styles
Letter style, beside Base size, sets the letters of the whole paper. A part can have its own: choose the part on the sample, then its letter style in the bar.
- On every device: styles drawn from the fonts each device has. They differ a little from one device to another.
- More styles: font files inside the POS apps, the same on every POS. Some include Chinese.
When a letter style other than Standard is chosen, the POS prints the paper as a picture, so the style comes out on a roll printer too. A picture prints a little slower than text. A POS that is not updated yet prints it in the printer's own letters.
Save, and choose it for your POS
Saving makes the format; it does not change any POS yet. After Save, the big green SAVED says: Choose it on a POS terminal setting (Printing tab), or make it the default. Do one of the two:
For every POS that chooses nothing: on the Print formats list, press Make default on its row. It becomes the Default.
For some POS only: choose it on their POS terminal setting.
- In the menu, under MASTERS, click Outlet, then POS Terminal Settings.
- Click Edit on the setting your POS use. A new restaurant has one: DEFAULT, named Default.
- Click the Printing tab.
- In Print formats, open Receipt format and choose your format. Restaurant default (Standard) means the paper's default.
- Click Save.

- Receipt format: the format this setting's POS print their receipts in. The Bill format beside it is the bill printed before payment.
A POS takes the change at its next contact with the cloud, within five minutes. To send it at once, press ⋯, Reload on the POS's row in Outlets, POS terminals.
Check it on paper
The sample is the layout both POS apps print, but printers draw sizes a little differently. Before service:
- On the POS, ring a small bill and pay it, or reprint a receipt from Settings, Last bill.
- Check the logo, the long dish names and the TOTAL.
- Change the format if needed, Save, and print again after the POS has taken it.
Change, copy or switch off a format
- Edit: opens the format again. After Save, Each POS prints by it from its next pull.
- Copy: starts a new format from this one, named (copy).
- Make default: every POS whose setting chooses no receipt format prints this one.
- Disable: switches it off. The back office asks first, and says what happens: the POS that used it print the paper's default, or the Standard. Enable switches it on again.
