When the guests are ready to pay, you take the money in the payment window. When the bill is paid in full it closes by itself, the receipt prints, and the table is free again.

This guide covers the whole of it: opening the window, every part of it, cash and change, cards and e-wallets, paying with several methods, splitting the bill first, and what happens after.

Before you start

  • This POS must take payment. A Main or Sub POS does, when May take payment is ticked for it in the back office. A Waiter POS never does: it says This POS does not take payment. The bill is paid at the counter.
  • A shift may need to be open. If this POS sells only with a shift open, it asks for one first (see What if…).
  • You need the right to take payment. Without it, a manager approves each payment (see What if…).

Open the payment window

There are three ways:

  • On the sales screen, press the green Pay RM 45.00 under the bill.
  • On the table screen, tap a taken table, then press Payment in its window.
  • On the split screen, press Pay under one of the two bills (see Split the bill first).
The sales screen: Pay is the green button under the bill.
  1. Pay RM 45.00: opens the payment window for the whole bill.
  2. Split: splits the bill into two bills before anyone pays (on Android: Split bill).
  3. Print bill: prints the bill for the guests to check, before they pay. It is not a receipt.

The payment window, part by part

The window is the same on both POS apps, with the receipt on the left and everything for taking money on the right. This is the Windows POS; the Android POS is below.

The payment window (Windows): the receipt on the left, the money on the right.
  1. ← Back to the bill: closes the window without taking anything, back to the sales screen.
  2. Bill total: the whole bill.
  3. Receipt: the receipt as it will print. Once a part of the bill is paid, two tabs appear here: Receipt and Payments (1), the list of what has been paid.
  4. Amount due: what is still to pay. After a part payment it says Balance due, with Paid so far 20.00 of 45.00 beside it.
  5. The payment methods: your restaurant's methods, laid out as the back office's payment method group says. The chosen one is blue. Cash is chosen when the window opens. Tap another to choose it. Tap a method twice quickly to put the exact amount due into Payment Amt.
  6. Pay later, Deposit, Member: put the bill on a customer's account, use a guest's deposit, or let a member pay with points, wallet or member vouchers. Each is shown only when your plan and your rights include it. See Related guides.
  7. Payment Amt: what this payment takes. Leave it empty to take the whole amount due. Type a smaller amount for a part payment, or the money the guest hands over to see the change. The ring shows that the keypad is typing here.
  8. Reference for Cash: the slip or approval number of a card or e-wallet payment. It says · required and turns amber for a method that needs one, · optional for the others. Tap it to type in it with the keypad.
  9. The keypad: 0 to 9, the point and ⌫ (rub out the last digit). It types into the box with the ring.
  10. 5, 10, 50, 100: the notes the guest hands you. One tap puts that amount in Payment Amt.
  11. Clear: empties the box the keypad is filling.
  12. Take RM 45.00: takes the payment. Its words follow what you key: Take RM 50.00 when the guest hands over 50, Enter the reference first while a required reference is empty.
  13. Bill remark: a note printed on the bill and the receipt. Tap to add or change it.
On Windows

A keyboard works too: type the amount and press Enter to take it. A barcode scanner can fill the reference.

Take cash and give change

  1. Open the payment window. Cash is already chosen.
  2. If the guest pays the exact amount, press Take RM 45.00. Skip to step 5.
  3. If the guest hands over more, tap the note on the right (50), or key the amount (5, 0). Payment Amt shows 50.00, and the change beside it: CHANGE 5.00.
  4. Press Take RM 50.00. The cash drawer opens, if one is connected.
  5. The window shows Paid and the change in large figures: Change to give RM 5.00. Give the change, close the drawer.
The guest hands over RM 50: Payment Amt shows the change, and Take says what was handed over.
  1. 50: the note the guest handed over.
  2. Payment Amt with the change: 50.00, CHANGE 5.00. On Android the line under the amount says CHANGE 5.00.
  3. Take RM 50.00: the money handed over. The bill records RM 45.00 paid and RM 5.00 change.

Pay by card or e-wallet

  1. Tap the method: Visa, Mastercard, DuitNow QR, Touch 'n Go eWallet, or your own.
  2. Leave Payment Amt empty to take the whole amount due.
  3. If the method needs a reference, the reference box is amber and says · required: tap it, key the slip's or the app's reference number, and Take turns green again. For other methods the reference is optional.
  4. Press Take RM 45.00.

A card or e-wallet payment gives no change: if you key more than is due, it is taken at the amount due (on Windows, Payment Amt says More than is due).

Pay one bill with several methods

Guests often pay part in cash and part by card, or each pays a share.

  1. Choose the first method, for example Cash.
  2. Key the part this method pays in Payment Amt, for example 20. Beside it: Left after this 25.00 (Android: LEFT 25.00).
  3. Press Take RM 20.00. The bill is not closed yet.
  4. The window now says Balance due RM 25.00, with Paid so far 20.00 of 45.00. On the left, the tabs Receipt and Payments (1) appear.
  5. Choose the next method, for example Visa, key the reference if it asks, and press Take RM 25.00.
  6. When nothing is left to pay, the bill closes and the window shows Paid.
After a part payment: Balance due, Paid so far, and the Payments tab.
  1. Receipt / Payments (1): the second tab lists each payment taken on this bill, with a bin beside each one this POS took (see Take back a payment).
  2. Balance due and Paid so far 20.00 of 45.00: what is left, and what is paid of the whole.
  3. Visa: the next method.
  4. Reference for Visa · required: amber until the reference is keyed.
  5. Enter the reference first: the green button waits for the reference, then says Take RM 25.00.

Split the bill first

When each group wants its own bill (and its own receipt), split the bill before anyone pays.

  1. On the sales screen press Split (Android: Split bill), or on the table screen tap the table and press Split.
  2. The split screen shows the Original bill on the left and an empty New bill on the right.
  3. Tap a dish on the left to move one of it to the new bill. Tap it on the right to move it back. Press All › beside a dish to move every one of it.
  4. Each side shows its own Total. Each can have its own Bill remark.
  5. Press Pay under a bill to pay it now, or Save to keep both bills on the table and pay them later.
The split screen: tap a dish to move one, All to move them all, Pay under either bill.
  1. Original bill: the bill as it was, less what you moved.
  2. A dish: tap to move one to the other side. All › moves every one of it.
  3. New bill: starts empty, with Nothing here yet. Tap items on the left.
  4. Pay: saves the split and opens the payment window for that bill. The other bill stays on the table, to pay next.
  5. Close: leaves without splitting.
  6. Save: keeps both bills on the table, to pay later.

After payment: receipt, email, exit

When the bill is paid in full, the right half of the window turns into the Paid screen.

The Paid screen (Windows): the change, then the receipt, email and WhatsApp, then Exit.
  1. Change to give: the change, in large figures. With no change it says No change to give.
  2. Print receipt: prints the receipt. Once it has printed, the button says Print a copy, and a copy is marked REPRINT. If printing failed it says Try again.
  3. Email: type the guest's email address and press Send.
  4. WhatsApp: not set up yet; it says so. Print or email instead.
  5. Exit (10): back to the tables. It counts down from 10 and exits by itself; it waits while you print or type an email.

Whether the receipt prints by itself is set in the back office, on the POS's terminal setting (Print receipt):

Print receiptWhat happens when a bill is paid
DirectThe receipt prints at once. A new restaurant starts with this.
PreviewThe receipt is shown first (Receipt HQ-000123). Press Print, or close it to skip; it stays in Last bill.
No printNothing prints. Press Print receipt when a guest asks.

After Exit, the table is free. A receipt can be printed again later from Settings, Last bill.

On Android: the payment window

The Android POS has the same parts in the same places, with three differences:

  • The back button is ✕ Back to the bill, and the top right says Bill RM 45.00.
  • Pay later, Deposit and Member are keys in the top bar, not dashed buttons under the methods.
  • The box at the top says Due now, with Bill total and Paid beside it. Payment Amt stays empty until you key, and shows CHANGE 5.00, LEFT 25.00 or MORE THAN IS DUE under what you key.
The payment window on Android.
  1. ✕ Back to the bill: closes the window without taking anything.
  2. Pay later, Deposit, Member: the same three keys as on Windows, in the top bar.
  3. Bill RM 45.00: the whole bill.
  4. Due now: what is still to pay, with the bill total and what is paid.

On a phone, or a tablet held upright, the window is one column: the receipt is behind a Payments (n) line instead of beside the keys. The Paid screen says Total paid RM 45.00 and Change to hand back RM 5.00, with Print receipt, Email, WhatsApp and Exit (10).
