Vouchers: giving at the POS

Let the cashier give a guest a voucher from the POS's table screen, printed on a slip with its own code. Can be given at the POS on a printed batch, Good for (days), the most a day per outlet, what the cashier sees, and the Given at the POS tab.

A cashier can give a guest a voucher from the POS: a thank-you for a long wait, a "come back next week" for a regular. The POS asks the cloud for a new one-use code, prints it on a slip, and the guest uses it on a later bill. You decide here which vouchers may be given, for how many days each is good, and how many a day.

Two kinds can be given:

  • A restaurant voucher: a printed batch with Can be given at the POS ticked. This guide is about it.
  • A member voucher: a Member Portal template chosen under Member, Settings, Member vouchers the POS may give.

Before you start

  • A restaurant voucher given at the POS is a printed batch. Make one first (see Printed batches); it may have 0 printed codes when it is only for giving.
  • Ticking it needs the right Generate printed codes.
  • At the POS, giving needs the POS right Give away a voucher (in POS access groups, under Take Orders). A cashier without it asks a manager to approve with their PIN.
  • Giving needs the internet: the cloud makes the code. Only a Main or a Sub POS gives vouchers.

Let the POS give a new voucher

  1. Under MASTERS, click Menu, then Vouchers, then the tab Printed batches.
  2. Click + Generate codes.
  3. Fill in the batch: Name (printed on the slip), what it gives and when it can be used (see What a voucher gives and when).
  4. Under Giving at the POS, tick Can be given at the POS. Good for (days) starts at 30.
  5. In How many, type 0 if you print none, or the number to print as well.
  6. Click Generate. With 0 codes, the green SAVED says Saved. The POS can give this voucher now.

Let the POS give a batch you already have

  1. Open the batch on Printed batches.
  2. Under its title, beside Not given at the POS, click Giving at the POS….
  3. Tick Can be given at the POS, and set the two numbers.
  4. Click Save. The green SAVED says The POS can give this voucher.
Giving at the POS, from a batch's page: the tick and its two numbers.
  1. Can be given at the POS: the cashier may give this voucher from the table screen (Give voucher). The POS prints a slip with the code's own number.
  2. Good for (days): how many days a code given at the POS is good for, counting the day it is given: 30 given today ends on the 29th day after. Blank: until the batch's own Valid to. Never past it.
  3. Most a day, per outlet: the most codes given in one business day at one outlet. Blank: no limit.
  4. What the POS gives: the batch's own terms. They are set on the batch and do not change here.

Untick Can be given at the POS and Save to stop it: The POS no longer gives this voucher. The codes already given keep working.

What the cashier sees

On the table screen, the cashier presses Give voucher, chooses Restaurant voucher (or Member voucher), then the voucher:

The POS's Give voucher window (Windows), at the restaurant voucher.
  1. The voucher: the batch's Name, its minimum spend, Good for 30 days (or Valid until …), and 17 left today from Most a day, per outlet (None left today greys it out). On the right, what it gives.
  2. How many: 1 to 5 codes at once, never more than are left today.
  3. Guest name: optional; printed on the slip and kept on the give.
  4. Guest phone: optional; kept on the give.
  5. Give and print: the cloud makes the codes and the POS prints one slip per code.

The slip, printed in English whatever the POS's language, says VOUCHER, the restaurant, the voucher's name, what it gives, its terms, the code large with its QR code, Valid until …, Show this slip when you pay. One use only. and Given by … on …. The guest's code is then used like any printed code. The Android POS asks the same, in its own window. The POS side is in Give voucher.

How the codes given at the POS work

  • Each code is one use, and belongs to its batch: the batch's switch, what it gives, its minimum spend and what it cannot be combined with all hold.
  • Its dates: from the day it is given (or the batch's Valid from, if later), for Good for (days) days counting that day, never past the batch's Valid to.
  • The daily limit is counted per outlet per business day (the outlet's day-end hour). Asking for 3 with 2 left is refused whole.
  • On the batch's page, a code given at the POS shows a green Given at the POS. It is in Download CSV, but never on the print sheet: it was printed on its own slip.
  • Changing the batch's dates later moves only its printed codes. A code given at the POS keeps the dates on its slip.

The Given at the POS tab

Every voucher given from the POS, newest first.

Vouchers, Given at the POS: who gave what, to whom, when, and whether each code was used.
  1. From and To: the days to list. Blank: every day.
  2. Which vouchers: Restaurant and member, Restaurant vouchers or Member vouchers.
  3. When: the time it was given, and its business day.
  4. Voucher: the batch's name, which opens the batch; or the member template's name with a violet Member. A give that did not finish says why, in amber.
  5. To whom: the guest's name and phone as typed, not named, or the member's number.
  6. Codes: each code with its status (Unused, Redeemed with its bill…), or a member voucher's serial with its last day.
  7. Given by: the cashier, and approved by the manager when one approved.
  8. Where: the outlet and the POS.

With none yet: No voucher has been given at the POS yet. Tick “Can be given at the POS” on a printed batch to let the cashier give it.
