Customers: Invoices & deposits, Statement & history

What one customer owes, invoice by invoice, and what is held for them, deposit by deposit; then their statement of both, with running balances, for any dates, as CSV or PDF.

Two tabs of a customer's window show their money:

  • Invoices & deposits: what they owe now, invoice by invoice, and what you hold for them now, deposit by deposit.
  • Statement & history: everything that ever moved on their account, day by day, with the balance after each line. Send it to the customer as a PDF, or open it in a spreadsheet as CSV.

What a customer owes (Owed, Pay later) and what you hold for them (Held, deposits) are kept apart and never set against each other.

Before you start

  • You need the right to see customers, or to read the Pay later or deposit reports.
  • Open the customer: MASTERS, Customers, Customers, then click their row. See Customers.

Invoices & deposits

  1. In the customer's window, click the Invoices & deposits tab.
Invoices & deposits: what is owed now on the left, what is held now on the right.
  1. Invoices & deposits: the second tab.
  2. Unpaid invoices: every Pay later invoice not fully paid, with the day of the oldest in the heading. Day is its business day; Invoice its number (or Adjustment for an amount added by hand); Amount what it was. With none: Nothing owed.
  3. Unpaid: what is still owed on it. A payment pays the oldest invoice first (unless the cashier chose the invoices), so an invoice can be part paid.
  4. Deposits and credit held: every deposit with money still on it. Under the number, Use on / before and the day and time when the deposit is for a set visit. Credit (money beyond a debt) in amber marks money paid beyond a debt, kept for the customer. With none: Nothing held.
  5. Valid until: the last day the deposit can be used. After it, it is expired: a manager forfeits, extends or refunds it in Deposits.

Statement & history

  1. Click the Statement & history tab. It opens on everything, from the start to today.
  2. To see a part, pick a From day, a To day, or both.
  3. Read the two columns: Owed (Pay later) on the left, Held (deposits) on the right.
  4. To keep or send it, click Export CSV or Export PDF.
Statement & history: each pocket with its opening and closing balance, and every line.
  1. Statement & history: the third tab.
  2. From and To: the days the statement covers. Leave them empty for everything, from the start to today.
  3. Export CSV: saves the statement as statement- and the customer's code .csv, to open in a spreadsheet. Dimmed when there is nothing in the range.
  4. Export PDF: saves it as an A4 PDF, to print or send to the customer.
  5. Owed (Pay later): what the customer owed at the start of the range (opening) and owes at its end (now), then every line.
  6. Held (deposits): the same for what you hold for them.
  7. What: what the line is, with its document number. Under it, the payment method and reference, and a reason, when there is one. Rest the pointer on the Day to see the exact time.
  8. Balance: the balance after the line.

What a line can be:

PocketWhatMeans
OwedInvoice (Pay later)A bill put on Pay later. It adds to what is owed.
OwedPayment receivedThe customer paid, at a POS or by bank transfer. It takes off what is owed.
OwedRefunded to Pay laterA Pay later bill was refunded; the debt goes down.
OwedWritten offA debt given up. See Record money.
OwedAdjustmentAn amount corrected by hand.
OwedMoved in by a mergeBrought over from a customer merged into this one.
HeldDeposit taken, Top-up 2A deposit, and each top-up after it.
HeldDeposit usedA deposit used to pay a bill.
HeldDeposit put back (a refund of its bill)The bill a deposit paid was refunded, so the money is held again.
HeldDeposit refundedThe deposit handed back to the customer.
HeldDeposit forfeitedThe deposit kept by the outlet.
HeldAdjustmentAn amount corrected by hand.

A line that was voided is struck through and pale. It moves nothing, and has no balance.

With nothing in the range, a column says Nothing in this range.

What the CSV and the PDF hold

Both hold every line of both pockets, with these columns: Business day, Outlet, Pocket (Owed (Pay later) or Held (deposits)), What, Method, Reference, Amount, SST part, Balance, Voided and Note.

The PDF's heading has Statement: with the customer's name and code, their phone, the range (from the start or the first day, to the last day or today), and what they owe and hold at the end.
