A promotion is a discount that the POS terminals and the QR menu apply by themselves, or that the cashier applies with one tap. You set it up once in the back office: what it gives, on which dishes, on which days and hours, at which outlet. Every POS takes it at its next sync.

There are four kinds, one card each: Item or category discount, Happy hour, Buy X get Y and Bill total tiers. This guide is about the Promotions list and the page each promotion opens on. Each kind has its own guide (see the end of this page).

Before you start

  • You need the Promotions screen in your back office access group. Someone who may only look at it sees every promotion and can use Try it, but cannot change anything, and the four New cards are not shown.
  • The dishes and categories a promotion names must exist first, in Items and Categories.
  • With more than one outlet, the page works on the outlet you are working in. It is the outlet box at the top of the page.

Open Promotions

  1. In the back office's menu, under MASTERS, click Menu, then Promotions.
  2. The list opens, with the four New cards above it.

The list, part by part

Menu, Promotions: the four New cards, then every promotion with what it gave away in the last 30 days.
  1. Promotions: under MASTERS, in the Menu category.
  2. Outlet: the outlet you are working in. The Given away column counts that outlet's bills. Choose another outlet to see its figures; the page opens again there. It is only shown when you have more than one outlet.
  3. Search…: finds a promotion by its code, its name or its second-language name.
  4. Kind: Every kind, Item discount / happy hour, Buy X get Y or Bill total. A happy hour is an item discount with hours, so the two are one choice here.
  5. Show switched off: also lists the promotions that are off. They are drawn pale.
  6. The New promotion cards: + Item or category discount, + Happy hour, + Buy X get Y and + Bill total tiers. Click one to start a new promotion of that kind. See Add a promotion.
  7. Promotion: the name, which opens the promotion's page, and under it the code and the kind (the card it was made with).
  8. Gives: what it gives, in one line: "20% off", "RM 1.00 off each", "Buy 2 get 1 free", the tiers, or "Basket: 3 dishes at their own price". "(up to RM 5.00)" is a cap.
  9. When: the hours and the days, such as "16:00–19:00, Mon–Fri" or "all day, every day". "(past midnight)" is a window that ends the next day. The valid dates, when it has any, are under it.
  10. Applied: Automatic (on every bill it fits, by itself) or Cashier applies. Under it, where: POS, QR menu or POS & QR, and the outlet or All outlets.
  11. Priority: the higher number is tried first. A blue stacks or a violet exclusive label shows those two ticks. See When, where and how it applies.
  12. Given away, 30 days: how much money it took off bills in the last 30 days at this outlet, net of refunds, and on how many bills ("2 refunded" when some were). "—" means nothing yet.
  13. Status: On, or Off when it is switched off.
  14. Edit opens the promotion's page (someone who may only look sees Open). Delete deletes it, or switches it off when bills have used it. See Delete a promotion.

The list is in Display order, then by priority, highest first, then by code.

A promotion's page

Clicking a card, a name or Edit opens the promotion on a page of its own. Every kind has the same parts; only What it gives changes.

A new happy hour: the kind, the name, what it gives, when, where and how, then Create and Try it.
  1. ← Promotions: back to the list. With more than one outlet, the outlet box is at the top right of this page too: each dish's normal price here, and the outlet Try it starts on, are that outlet's.
  2. The kind: Item or category discount, Happy hour, Buy X get Y or Bill total tiers, the chosen one blue. A new promotion may change kind; what both kinds share stays. A saved one may only move between Item or category discount and Happy hour: the other kinds are not shown.
  3. Name: Code (up to 20 characters, one per promotion), Name (up to 100 characters, printed on the bill beside the discount) and Second-language name, the name in your second language (optional).
  4. What it gives: different for each kind. See Item or category discount, Happy hour, Buy X get Y and Bill total tiers.
  5. When: the days, the hours and the valid dates.
  6. Where and how: the outlet, the channel, whether it is applied by itself or by the cashier, the priority and the ticks. Points 5 and 6 are in When, where and how it applies.
  7. Create (on a new promotion) or Save. On a saved promotion, Delete is beside it.
  8. Try it: a sample bill, to see what the promotion does before a guest does. See Try it.

Someone who may only look sees the same page, with every box greyed and the line You can look at this promotion and try it, but not change it. under the title.

Add a promotion

  1. On the Promotions list, click the card of the kind you want, for example + Happy hour. The page opens, titled New happy hour.
  2. In Code, type a short code, such as HH1. In Name, type the name guests will read on the bill, such as Kopi Happy Hour.
  3. Fill in What it gives, as the guide of that kind says.
  4. Set When and Where and how. A new promotion starts on every day, all day (a happy hour from 16:00 to 19:00), at All outlets, on the POS and QR menu, applied Automatically, at priority 0.
  5. Optional: add a few dishes in Try it and press Try it, to see the discount on a sample bill.
  6. Click Create. The big green SAVED says The POS terminals pick it up on their next sync. The page is now the promotion's own page, with Save and Delete.

Find a promotion

  1. Type part of its name or code in Search…. The list follows as you type.
  2. To see one kind only, choose it in the kind list.
  3. To see the ones that are off too, tick Show switched off.

Change a promotion

  1. Click its name, or Edit on its row.
  2. Change what you need.
  3. Click Save. The green SAVED says The POS terminals pick it up on their next sync.

A change applies to the bills priced after the POS has it. Bills already paid keep the discount they were given.

Switch a promotion off

  1. Open the promotion.
  2. At the foot of Where and how, untick On. Its hint says: Switched off, it stays on the bills that used it.
  3. Click Save. The list shows it Off, and only with Show switched off ticked.

To switch it back on, tick On again and Save.

Delete a promotion

  1. Press Delete on its row, or on its page.
  2. The back office asks: Delete "Kopi Happy Hour"? If a bill has used it, it is switched off instead, so that bill still says which promotion it had. Press OK.
  3. A promotion no bill has used is deleted, and the message says Deleted. One that bills have used is switched off instead, and the message says Switched off — used on bills.
