Table Plan
Draw your outlet's floors and tables in the back office's Table Plan, move them, save the layout, and see what each POS, the Floor Plan, bookings and the tables' QR codes take from it.
On this page
Table Plan is where you draw each outlet's floors and the tables on them, as they stand in the restaurant: their places, shapes, sizes and codes. Everything else reads it:
- each POS draws its table screen from it, on Windows and Android;
- the back office's Floor Plan shows the same floors live;
- bookings are given a table that fits the party;
- every table has its own QR code, which a guest scans to order at that table.
You draw on a floor, then press Save layout. Nothing changes on any POS until you save.
Before you start
- Your access group needs Table Plan Designer (under Layout in Back office access groups): View to look, Edit to change. With View only, the page shows the plan and a table's settings, greyed, and none of the buttons.
- The page draws one outlet: the one you are working in. See All outlets, or the working outlet.
- Table codes are unique across the whole outlet, on every floor. Plan them before you start, such as T01 to T20, or A01 for the terrace.
Open Table Plan
- In the back office's menu, under MASTERS, click Room, then Table Plan.
- The first floor of the outlet opens. An outlet with no floor says No floors yet., with Create the first floor.
The page, part by part
Table Plan — HQ Demo Kitchen
Drag to move. Positions snap to the floor grid and save together. Drag on the empty floor to choose several tables at once. Upright (phones) is a second layout of the same tables, for a POS held upright. This is the outlet you are working in: choosing another here switches it on every page that works on one outlet.
2T03
- Table Plan: under MASTERS, in the Room category.
- The title: Table Plan — HQ Demo Kitchen, the outlet being drawn, when you have more than one outlet. The grey lines under it say how the page works.
- Outlet: shown when you have more than one outlet. Choosing another opens its plan, and switches the working outlet on every page that works on one outlet. With layout changes not saved, it asks first: Discard the unsaved layout changes and open BR1 — Demo Kitchen Bangsar?
- + Floor: adds a floor. See Table Plan: floors and Copy plan.
- Floor settings: the settings of the floor on screen: its code, name, size, grid, background, and what a taken table shows on the POS.
- + Table: adds a table at the top left of the floor, already chosen, with the next free code of the outlet (after T08 comes T09), named Table T09, round, 4 seats.
- Save layout: saves every table of the floor on screen, in one go. It reads Saved, greyed, when there is nothing to save, and Saving… while it saves.
- The floor tabs: each floor of the outlet, with its number of tables in grey. A switched-off floor is drawn faded. Click one to draw it; with unsaved changes the page asks Discard unsaved layout changes?
- Wide / Upright (phones): which layout of the floor you are drawing. Wide is the usual one. Upright (phones) is a second layout of the same tables for a POS held upright. See Table Plan: an upright layout for phones.
- Undo: takes the last change back, as Ctrl+Z does. Beside it, how to choose several tables; with two or more chosen, the buttons that line them up. See Table Plan: arrange many tables.
- The floor: the tables where they stand, in their shape and colour, with their code and seats (4 pax). Drag a table to move it. Click a table to choose it: it gets a blue ring. Click the empty floor to choose none.
- The line under the floor: the floor's size in design units, the grid it snaps to, how many tables (elements) it has, how many are chosen, and unsaved changes in amber when there is something to save.
- The panel: the chosen table's settings, with Duplicate and Remove. With no table chosen it says Select a table to edit it, or add one. See Table Plan: a table's settings.
Draw your tables
- Choose the outlet in Outlet, if you have several.
- If the page says No floors yet., click Create the first floor. Code (GF) and Name (Ground Floor) are filled in: change them if you like, and click Save.
- Click + Table. A round table appears at the top left, chosen.
- Drag it to its place. It snaps to the floor's grid, so tables line up.
- In the panel, set its Code, Name, Shape and Seats.
- Add the other tables the same way. Duplicate in the panel makes a copy of the chosen table beside it, with the next code.
- Click Save layout. The big green SAVED says what happened, such as Tables: 8 added.
Move a table
- Drag it on the floor. It snaps to the grid, and stops at the floor's edge.
- Arrow keys: the chosen table moves one grid step that way.
- X and Y in the panel place it exactly.
Take a change back
Press Undo, or Ctrl+Z, to take the last change back. It remembers up to 60 changes; a held arrow key, or a number being typed, counts as one. Changing floor, or switching between Wide and Upright (phones), starts afresh.
Save the layout
Nothing on the floor is saved until you click Save layout. It saves the floor on screen: every table on it, as drawn. The SAVED sign then counts what changed: Tables: 2 added, 6 updated, 1 removed, 1 deactivated (had sales history).
- A table you removed that has no sales is deleted. One with sales or bookings is kept for its history, switched off, and leaves the POS.
- Leaving the page with unsaved changes, the browser asks first.
What the POS takes from the plan
Each POS takes the new plan at its next contact with the cloud, within five minutes. To send it at once, press ⋯, Reload on the POS's row in Outlets, POS terminals.
- The floors: a button for each floor along the top, when the outlet has more than one.
- The tables: at the places you drew, fitted to the screen, with their shape, turn, text size and code. A free table shows its seats (4 seats) and its own colour; a seated one shows its guests (4 pax) and its bill so far, in the colour of its state.
- Tappable at the POS unticked: the table is drawn but cannot be tapped. In service unticked: the table is not drawn at all.
- A new bill at a table opens on the table's Default order type, and is priced at its Price level.
- The floor's background colour is drawn behind the tables. Its picture is drawn only here in the designer.
The Windows POS draws the upright layout of a floor, when it has one, while its window is taller than it is wide. Otherwise it draws the wide layout.
The Android POS draws the upright layout of a floor, when it has one, on a screen held upright, phone or tablet. Held sideways, it draws the wide layout.
Bookings and QR codes
- Bookings: a booking with no table chosen is given the smallest free table whose Min to Max seats fit the party (Seats when Max is empty). Only tables in service and tappable at the POS are offered.
- QR codes: every new table gets a QR code of its own when the layout is saved. A guest who scans it orders onto that table. Print the codes on General Setup, QR Ordering, Codes to print. See QR Ordering: Codes to print.
