Customers: Merge
Join a customer made twice into one. Find the customer to keep, press Merge into this one, and every invoice, payment and deposit moves across with its own date and number. What the Possible duplicate badge means.
On this page
Sometimes one person becomes two customers: two POS made them while offline, or they came back with a new phone. Their debts and deposits are then split over two accounts. Merge joins them: you open the one to go away and merge it into the one to keep.
Every invoice, payment and deposit moves across, each with its own date and number. The cloud never merges by itself: it only flags a Possible duplicate, and a person decides.
Before you start
- You need the right to change customers. Without it, the Merge tab is not shown.
- Decide which customer to keep: usually the older one, or the one with the right phone. You open the other one, the one that goes away.
The Possible duplicate badge
When a POS makes a customer whose phone another customer already has, the cloud keeps both and marks the new one:
- An amber Possible duplicate badge beside its name in the Customers list.
- A flag Possible duplicate: merge? under For a manager to look at, which says Same phone as customer …: merge them in the back office if they are one person.
To list them all, tick Possible duplicates above the list. See Customers.
Merge two customers
- In Customers, click the customer that goes away, for example the one with Possible duplicate.
- Click the Merge tab.
- In the search box, type at least two letters of the name, the phone or the code of the customer to keep.
- On the right customer's line, click Merge into this one.
- The browser asks a question that names both and what moves. Read it, then click OK.
- The big green SAVED says Lim Ah Kow merged into Lim Ah Kow. with the two names. The window closes, and the list reads again.
| Customer | |
|---|---|
| Lim Ah Kow · 0198887777 · C-4HN8PZ | Merge into this one5 |
| Lim Ah Seng · 0165554444 · C-6MW2QA | Merge into this one |
- The title: the customer you opened, the one that goes away.
- Merge: the fourth tab.
- What a merge does: the tab's explanation.
- The search box: Find the customer to merge into: name, phone or code. Type two letters or more. Up to 20 customers show, never the one you opened and never one merged already.
- Merge into this one: merges the customer you opened into this one, after a question.
The question before the merge reads, for example:
Merge Lim Ah Kow (C-9RT3WD) into Lim Ah Kow (C-4HN8PZ)? Every invoice, payment and deposit of Lim Ah Kow moves across (owes 0.00, holds 150.00). Lim Ah Kow is closed, and a POS still holding them delivers to Lim Ah Kow.
Check the two codes: the first goes away, the second stays.
What a merge does
- Every invoice, payment, deposit and flag of the first customer moves to the second, with its own date and number. The statement and the ages read as before.
- The first customer is Closed, with a grey Merged badge in the list. It cannot be linked to a member any more.
- A POS that still has the first customer, perhaps offline, sends its bills to the second one.
- A member linked to the first customer moves to the second, unless the second has a member of its own.
- The second customer's Possible duplicate mark, if it pointed at the first, goes.
After merging, the flag Possible duplicate: merge? stays under For a manager to look at until you Clear it.
