Stock Documents: wastage and adjustment

Take spoiled, dropped or burnt stock off the shelf with a wastage note and its reason, or correct a balance either way with an adjustment. Wastage — spoiled or dropped, Adjustment — a correction, the wastage reasons, and when to use which.

Two kinds of stock document take care of what is not a delivery:

  • Wastage — spoiled or dropped: stock that is gone and why: the milk turned, a tray was dropped, the chicken burnt. Every line comes off the shelf, and the note carries a reason, so the wastage report can say how much went where.
  • Adjustment — a correction: a balance that is simply wrong, in either direction. 5 adds five, -5 takes five off.

Both are typed as a draft first, and move nothing until they are posted, like every stock document.

Before you start

  • You need Stock Documents, Edit to type the note, and Post a stock document to post it.
  • A wastage note needs a wastage reason. Make your reasons first: see Set up the wastage reasons.

  5. In Reason, choose why, such as SPOIL — Spoiled.

A wastage note: a reason instead of a supplier, and no price on the lines.
  1. Kind: Wastage — spoiled or dropped.
  2. Reason: why it was wasted. It lists your switched-on reasons of type Wastage, as code and name. Pick a reason… is shown until you choose one. Needed.
  3. Note: anything else worth keeping with the note.
  4. The quantity: how much was wasted, in the item's unit. A wastage line has no price: it comes off at what the shelf is valued at when the note is posted.
  5. The line under the lines: everything on a wastage note comes off the shelf.

On the stock card, each line reads Wastage, in red, with the document number. The wastage report adds them up by item, by reason and by slip. See Other Reports › Stock: Wastage.

Type an adjustment

  1. In Stock Documents, click New document.
  2. With more than one outlet, choose the Outlet.
  3. In Kind, choose Adjustment — a correction. There is no supplier and no reason.
  4. Find the item and click it.
  5. Type the correction with its sign: 5 adds five to the shelf, -5 takes five off.
  6. Type a Note saying why: the stock card shows it.
  7. Click Save as draft, then Post it on the list.

Under the lines the window says A correction reads the sign you type: 5 adds five, −5 takes five off. On the stock card each line reads Adjusted, in amber, at the shelf's average cost.

Set up the wastage reasons

The wastage reasons are kept with the void and discount reasons.

  1. In the menu, under MASTERS, click General Setup, then Void / Discount Reasons.
  2. Click + New.
  3. In Type, choose Wastage.
  4. Type a Code, such as SPOIL, and a Name, such as Spoiled.
  5. Click Save. Make a few: Spoiled, Dropped, Burnt, Expired.

A wastage note offers only reasons of type Wastage, so a void reason never ends up against a tray of burnt chicken. The POS's own wastage screen uses the same reasons. See Void / Discount Reasons.
