Why a menu item or button is missing
The back office shows each person only what they may use. Rights come from the access group, the Administrator and the manager group open more, features not in the subscription are hidden, and Member asks you to add it to your plan.
On this page
Two people signed in to the same restaurant can see different menus. The back office hides what you may not open, rather than showing a button that would only be refused. When something you expect is not there, it is for one of four reasons:
- Your access group does not give you that right.
- The screen is for the Administrator and manager groups only.
- The feature is not in your subscription.
- For Member: it is shown, and asks you to add it to your plan.
1. Your access group
Every back office user is in one back office access group. The group is a checklist of what its people may do on each screen. Set it in General Setup, User, Back office access groups.
| Screen | View1 | Edit2 | Actions3 |
|---|---|---|---|
| Items | ☑ | ☐ | ☐ See cost price |
| Item Categories | ☑ | ☑ | |
| Units of Measure | ☑ | ☐ |
- View: the screen is in the menu and can be opened. Without it, the screen is not in your menu at all.
- Edit: the screen's + New, Edit, Delete and Save are shown. Without it, the screen is there to read only.
- Actions: rights of their own on a screen, such as See cost price on Items. Without one, that part or button is not shown.
- Manager group: its people also get the screens kept for managers. See 2. Screens for administrators and managers.
A category of the menu with no screen left for you is not shown at all. A whole row of reports goes the same way.
2. Screens for administrators and managers
- The Administrator group is built in. Its people may do everything in the back office, whatever any checklist says. It cannot be changed or deleted, and a restaurant always keeps at least one active person in it.
- A manager group (one with Manager group ticked) also opens the screens that change how the POS work: POS Terminal Settings, System Button and Print Formats, and on Outlets, adding an outlet and the POS terminals tab's pairing. Only an administrator can tick Manager group.
- Everyone else sees what their group's checklist gives, and never those screens.
The top bar shows your rank under your name, for example Administrator or Manager.
3. Not in your subscription
Some features belong to a plan. When FooodPos has a feature off for your subscription, its screens are hidden, not dimmed:
| Feature | What is hidden while it is off |
|---|---|
| Stock | Store Room, Suppliers, Stock Documents, Count a Shelf, the Stock reports |
| Kept items | Custody |
| Pay later and deposits | the three Pay later reports, and the outlet's Pay later & deposits tab. Deposits, and the three deposit reports, stay while the restaurant has ever held a deposit. |
| Bookings and queue | Dining Shifts. Reservations stays while the restaurant has ever had a booking. |
Opening such a page by its address, from an old bookmark or tab, shows one line instead of the page:
- The sentence: the feature's name, and that it is not part of the subscription. Nothing of the page is shown.
To add a feature, contact FooodPos. See Your plan and its limits.
4. Member: add it to your plan
Member is shown as normal even when it is not in your subscription, so you can see what it offers. Its screens show the card Add Member to your plan instead of their figures, and a button that needs Member (such as Subscribe or Connect on Connection, or linking a member on a customer) opens this window:
- What it says: Member is not in the plan yet, what it does, and that FooodPos adds it. Under it, FooodPos's WhatsApp and phone number.
- Message on WhatsApp: opens WhatsApp with FooodPos.
- Close: closes the window.
