When a guest orders from their phone by the table's QR code, the order waits in a tray. Nothing reaches the kitchen until someone accepts it. QR Orders is that tray in the back office: the orders waiting, the calls guests made from the table (a waiter, the bill, help), and what was decided lately.

The same tray is on the POS. Whoever answers first, on the POS or here, handles the order. See Accept or reject a QR order on the POS.

Before you start

  • You need the right to see QR orders. Without it, QR Orders is not in your menu. To press Accept, Reject or Done you also need the right to change them.
  • Orders wait here only while the outlet asks for a decision. When Accept table orders automatically is ticked in the outlet's QR ordering settings, a table's order goes straight to the kitchen. A pickup or delivery order always waits here. See QR Ordering.

Open QR Orders

  1. In the back office's menu, under TODAY, click QR Orders.
  2. Or click the QR orders waiting tile on Today at a glance.

The page reads the tray again by itself every 10 seconds, because guests are waiting.

The screen, part by part

QR Orders: the calls from tables, the orders waiting for a decision, and what was handled lately.
  1. QR Orders: under TODAY in the menu.
  2. What it shows: the outlets shown, and Carts guests submitted from their table. Nothing reaches the kitchen until it is accepted.
  3. Outlet: All outlets, or one outlet. Shown only when you have more than one outlet. With several, every order and call carries its outlet's code.
  4. Service calls: what guests asked for from the table, with how many are waiting. The panel shows only while there is a call. See Service calls, column by column.
  5. Done: closes the call once someone has gone to the table.
  6. Waiting for a decision: the orders nobody has accepted or rejected yet, with how many. With none: The tray is clear.
  7. The order's heading: its outlet (blue), where it goes, its request number, and a red waiting 4 min once it has waited more than three minutes. Under it, the guest's name (or Guest), phone and the time it was sent. See Where an order goes.
  8. Reject: refuses the order, with a reason the guest sees on their phone. See Reject an order.
  9. Accept: sends the order to the kitchen and puts it on the table's bill. It says Accepting… while it works. See Accept an order.
  10. Guest saw: the price the guest's phone showed for each dish. Under Item, a dish ordered for one seat says so (seat 2). Note is the guest's note for the dish.
  11. Guest note: the guest's note for the whole order, in amber.
  12. Estimated: what the guest's phone added up. It is a guide only: the bill is priced from your menu when the order is accepted.
  13. Recently handled: the last 20 orders accepted or rejected: Request, Outlet, Table, Items, Outcome (Accepted in green, or Rejected in red with its reason beside it) and When. With none: Nothing yet today.

Where an order goes

The order's heading says where the food goes:

  • A table's code, such as T2: dine in at that table.
  • Pickup (with an amber Pickup badge): the guest collects it.
  • Delivery (with an amber Delivery badge): someone takes it to the guest. The address shows under the guest's name, so whoever accepts it knows where to send it.
  • Takeaway: an order with no table from an older setup.

Accept an order

  1. Read the order: the dishes, the notes, where it goes.
  2. Click Accept.
  3. The cloud prices the bill from your menu, puts it on the table's bill (or a new bill), and sends the dishes to the kitchen.
  4. A message says what happened to the kitchen tickets. The order moves to Recently handled.

The message after Accept:

MessageWhat it means
QMH2K7Z4A accepted: tickets are printingThe kitchen tickets are on their way to the printers.
QMH2K7Z4A accepted: on the kitchen screenThe dishes went to a kitchen display.
QMH2K7Z4A accepted. Nothing on it goes to the kitchen. No dish on it is sent to a kitchen station, such as drinks served at the counter.
QMH2K7Z4A accepted, but the KP1 ticket cannot print: …. See Kitchen Tickets. The order is accepted, but one station's ticket cannot print. The reason follows, such as a printer switched off.
QMH2K7Z4A accepted, but a kitchen station cannot print or show it. Kitchen Tickets says why.The same, when the reason could not be read here.

Reject an order

  1. Click Reject.
  2. The browser asks: Reject QMH2K7Z4A? The guest sees this reason on their phone.
  3. Type the reason, for example Sorry, the kitchen is closing, and click OK.
  4. Rejected shows. The order moves to Recently handled, with its reason.

The reason is needed: with the box left empty, or with Cancel, nothing is rejected. A voucher code the guest used was never spent; the guest is told it was not used.

Close a service call

  1. Go to the table, or send someone.
  2. Click Done on the call's row. The call leaves the list.
