Customers: Details tab
One customer's window and its Details tab. Their name and phone, a Pay later limit of their own, blocking or closing them, a note, and the member they are linked to, with Link a member, Change and Unlink.
On this page
Click a customer in Customers and their window opens. Across the top, four figures: what they owe, what is held for them, their limit and their status. Under them, the tabs. Details is the first: who the customer is, their own Pay later limit, whether they are blocked or closed, and the member they are linked to.
Before you start
- You need the right to see customers to open the window, and the right to change customers to change anything in it. Without it, the details are shown greyed, with no Save.
- A customer's own limit replaces the outlet's limit for them. The outlet's limit is set in Outlets, the outlet, Pay later & deposits, Limit per customer. See Pay later and deposits at an outlet.
Open a customer
- In the menu, under MASTERS, click Customers, then Customers.
- Find the customer, then click their row.
- The window opens on Details.
The window, part by part
Name and phone only: never an IC number.
- The title: the customer's name, their code, and Member 030 when they are linked to a member.
- The tabs: Details, Invoices & deposits, Statement & history, Merge and Record money. Merge is shown only to those who may change customers. Record money is shown only to those who may record Pay later payments or write debts off, and only when Pay later is in your plan.
- Owes (Pay later): what the customer owes, in red when it is more than zero.
- Held (deposits): what you hold for them.
- Limit: Outlet's limit, or Own limit 500.00.
- Status: Active, Blocked or Closed, in red when it is not Active.
- Linked member: the Member Portal member this customer is, or None. Open the member opens the member's page. See Link the customer to a member.
- Change (or Link a member when there is none): choose the member.
- Unlink: takes the link away. What the customer owes stays on the customer.
- Name and Phone: who the customer is. The phone is 6 to 20 digits. Under it: Name and phone only: never an IC number.
- A Pay later limit of their own: tick it, then type the limit in the box under it. Unticked, it says The outlet's limit applies.
- Status: Active, Blocked: never put on Pay later, or Closed.
- Save: saves the details. The big green SAVED says Every POS has the change on its next sync.
- Close: closes the window.
Note, under the fields, is for anything the team should know about the customer, up to 500 characters.
Change the details
- Change the Name, the Phone or the Note.
- Click Save.
- SAVED shows. Every POS has the change the next time it syncs.
Give a customer a limit of their own
The outlet's limit is the most a customer may owe on Pay later. A regular you trust can have a higher one, a new customer a lower one.
- Tick A Pay later limit of their own.
- Type the limit in the box, for example 500.00.
- Click Save. The list's Limit column now says Own limit 500.00.
To go back to the outlet's limit, untick it and click Save.
Beyond the limit, a cashier needs a manager's approval at the POS. A bill over the limit that a POS rang offline is kept, and listed under For a manager to look at as Over the limit.
Block or close a customer
- In Status, choose:
- Blocked: never put on Pay later: the POS will not put them on Pay later.
- Closed: an account no longer used.
- Click Save.
Choose Active and Save to open the account again. Blocking or closing never changes what is owed or held.
Link the customer to a member
A customer can be linked to one member of your Member Portal, and a member to one customer. Then, when a member's bill is put on Pay later, the POS takes their customer by itself, with no search. The debt, the limit and the statement stay on the customer. See Pay later for a member.
The POS usually makes the link itself, the first time the member is put on Pay later with the internet on. Link one here to choose the customer yourself.
- On Details, click Link a member (or Change).
- In Find the member to link, type at least two letters of the name, the phone, the email or the card. Searching… shows, then the members found.
- Click the member. The box shows only them, with Change member.
- Click Link this member. SAVED says Linked. Every POS has it on its next sync. Or click Cancel.
| Member | Status |
|---|---|
| Tan Mei Ling · 0123456789 · Card 0302 | Active |
| Tan Mei Hua · 0167770000 | Active |
- Find the member to link: searches your Member Portal. Type two letters or more.
- A member found: their name, phone and card, and their status (Active, Suspended or Deleted). Click one to choose them: the box then shows only that member, with Change member to choose again. With many found, the first 20 show, and The first 20 of 45. Type more to narrow it. With none, No member matches.
- Link this member: makes the link. It says Linking… while it works.
Unlink a member
- Click Unlink.
- The browser asks: Unlink Member 030 from Tan Mei Ling? What Tan Mei Ling owes (120.00) stays on the customer. On this member's bills the POS will then ask for the customer by search, or make a new account.
- Click OK. Unlinked. shows.
