Items: change or delete many at once

Tick dishes on the Items list, or every dish a search finds, then change their category, kitchen stations, tax and switches in one go, after a check that shows what would change. Or delete the ticked dishes.

Four hundred dishes cannot be opened one at a time. Tick them on the Items list, and Change these dishes… sets their category, kitchen stations, tax and switches at once. Delete these dishes deletes the ticked ones.

Nothing is changed until you have seen what would change. A change that moves money, such as a new tax, also shows each dish that would be charged differently, and waits for you to confirm each one.

Before you start

  • You need Items, Edit in your back office access group.
  • Use the list's filters first, so the dishes you want are the ones shown: a search, a category, a type.

Tick the dishes

  1. In the menu, under MASTERS, click Menu, then Items.
  2. Filter the list, for example All categories set to DRK — Drinks.
  3. Tick the dishes one by one in the tick column, or tick the heading's tick for every dish on this page.
  4. A blue bar appears above the list, saying how many are ticked.
The bar above the list: what is ticked, and what to do with it.
  1. What is ticked: 100 dishes ticked on this page. in blue: only the dishes on the page you see.
  2. Tick all 340 dishes matching the search and filters: shown when the whole page is ticked and more pages match. Pressed, the bar turns amber and says All 340 dishes matching the search and filters are ticked — on every page, not only this one. Its link Tick only the 100 dishes on this page goes back.
  3. Clear: takes every tick off.
  4. Where their tax comes from…: moves the ticked dishes to Follow Outlet, or back to their own taxes. Ticked dishes on one page only. See Where their tax comes from.
  5. Change these dishes…: opens the change window, for the ticked dishes or for every dish matching.
  6. Delete these dishes: deletes the ticked dishes. Ticked dishes on one page only. See Delete the ticked dishes.
  7. The heading's tick: ticks, or unticks, every dish on this page.

While every matching dish is ticked, a row's tick cannot be taken off alone: its tooltip says Every dish matching the search is ticked. Turning the page keeps the ticks of "every dish matching"; changing the search or a filter takes them off, because they would no longer mean the same dishes.

The change window, part by part

Change these dishes…: every field starts on Leave unchanged.
  1. Which dishes: the bar's words again, in blue for ticked dishes, in amber for every dish matching.
  2. Category: Leave unchanged, one of your categories, or No category. A category can change what dishes are charged, so the check charges each dish before and after.
  3. Kitchen stations: Leave unchanged, Follow their category (nothing ticked), or Send to the stations ticked below, with the stations to tick under it. The line under the ticks says how many tickets each dish will make.
  4. Never print to the kitchen: Leave unchanged, Never print to the kitchen, or Print to the kitchen as ticked.
  5. Tax: Leave unchanged, Follow Outlet, No Tax, or The same taxes for all of them. See Change the tax of many dishes.
  6. The flags: Active, Sell on the POS, Show on QR menu, Track stock and Required Staff, each Leave unchanged, Switch on or Switch off. Track stock is not there while your plan has Stock off.
  7. The question: the change, in one sentence, built from exactly what you picked. This is what you say yes to. After the check, the answer appears under it. See Check, then say yes.
  8. Check what this would do: works the change out without saving anything. Grey until something is picked. After the check it becomes Yes, change them.

Check, then say yes

  1. Pick only what should change. Leave the rest on Leave unchanged.
  2. Read the question, then press Check what this would do. It says Checking…, and for a category or tax change charging every moved dish twice, before and after…
  3. Read the answer under the question, for example 20 of the 24 dishes would change; 4 are already as asked and stay as they are. and Per field: Category 20 · Kitchen stations 18 · Show on QR menu 12.
  4. For a category or tax change, read the money line: 20 dishes charged twice, before and after, at 2 outlets × 3 order types. Not one is charged differently — the same money, before and after.
  5. Press Yes, change them.
  6. The big green SAVED shows, the window closes, and a green line above the list says what was done: 20 dishes changed; 4 already as asked. Every POS picks it up on its next sync. Its ✕ takes it away.

Change any field after the check, and the check is thrown away: the button goes back to Check what this would do. A yes is for one exact change.

When money would move

If the check finds dishes that would be charged differently, it says … would be CHARGED DIFFERENTLY. Nothing is saved until each one is confirmed., and lists them.

Dishes charged differently: each one is confirmed by its own tick.
  1. The amber box: the dishes whose money moves. Nothing is saved until each one is confirmed.
  2. A dish: tick it to say yes to it. Under it, where it changes: the outlet, the order type, and the taxes before and after.
  3. Yes, change them: grey until every dish in the box is ticked. To leave a dish out instead, close the window and untick it on the list (or narrow the search).

A line may also say that some dishes would have different taxes written onto the line while charging exactly the same money. Those do not need confirming. Dishes that are switched off are charged nowhere, so they are not compared, but they are still changed.

Change the tax of many dishes

Choose Tax, then:

  • Follow Outlet: each dish is taxed as the outlet on the bill is. A box names what each outlet charges.
  • No Tax: never taxed, at any outlet.
  • The same taxes for all of them: pick the taxes in Pick the taxes…, each said with whether it is in the price or added on top. Beside it, choose Each dish priced as it is now, Their prices already include the tax, or The tax is added on top of their prices. A dish marked exempt on its Tax tab stays exempt.

Every dish then has the one answer you picked. To move dishes back from Follow Outlet to the taxes each had before, use Where their tax comes from… instead: it keeps each dish's own taxes.

Delete the ticked dishes

  1. Tick the dishes on the page.
  2. Press Delete these dishes in the bar.
  3. The back office asks: Delete 3 dishes? Any that have been sold are deactivated instead, so past bills stay intact. Press OK.
  4. The button says Deleting…, then a green line above the list says what happened: 2 dishes deleted. 1 dish deactivated (they have sales).

A dish that cannot be deleted is named after Not deleted:, with the reason; the others are deleted all the same. A deactivated dish is switched off and kept: tick Inactive to see it.
