Store Room

What is on the shelf at each outlet and what it is worth. The tiles, the search, the category, Only what needs ordering, Include customers' kept bottles, each outlet's own shelf, and the way to an item's stock card.

Store Room shows what is on the shelf at your outlets, and what it is worth. For every item counted in stock it gives the quantity, the average cost the shelf is valued at, the value, the reorder level and when it was last counted. The items below their reorder level come first.

Nothing on this page can be typed over. Stock moves only when a bill settles or a stock document is posted, so every number here can be explained, movement by movement, on the item's stock card.

Before you start

  • Your back office access group needs Stock Balance (View). Without it, Store Room is not in your menu.
  • Stock must be in your plan. When it is not, its screens are hidden from the menu.
  • An item is listed once it has stock: a delivery, a sale, a count. Which items are counted at all is set on the item. See Which items track stock.

Open Store Room

  1. In the back office's menu, under MASTERS, click Stock, then Store Room.
  2. The page opens on All outlets when you have more than one outlet.

The page, part by part

Store Room on All outlets: the tiles, the filters, and one row per item, opened to show each outlet's shelf.
  1. Store Room: under MASTERS, the first screen of the Stock category.
  2. Outlet: All outlets shows every outlet you may see together, one row per item. Choose one outlet to see its shelf alone. The page remembers your choice while the browser tab stays open. See All outlets, or the working outlet.
  3. Count a shelf: opens Count a Shelf. Shown only to whoever may post a stock document.
  4. Documents: opens Stock Documents, where deliveries, wastage and corrections are typed.
  5. Items tracked: how many items the list shows.
  6. Value on hand: what your own stock is worth: each outlet's quantity at that outlet's own average cost, added up. Outlets that count in different currencies get one line per currency. Kept bottles never add to it.
  7. Below reorder level: how many items are at or below their reorder level, in amber when there are any. On All outlets it counts an item low at one outlet or more.
  8. The red line: shown when an item has gone below zero at an outlet. See What if.
  9. Search by name or code…: narrows the list as you type, by the item's name or code.
  10. All categories: shows one category only, with the categories under it. No category, at the end of the list, shows the items that have none.
  11. Only what needs ordering: shows only the items at or below their reorder level.
  12. Include customers' kept bottles: adds the bottles kept for customers to the quantity. See Count the kept bottles in.
  13. The count: how many items are listed; Reading… while the list loads.
  14. Code: the item's code. With more than one outlet, ▸ in front opens the row to show each outlet's shelf under it, and ▾ closes it again.
  15. Item: the item's name. Click it to open its stock card. 2 outlets says how many outlets hold it.
  16. On hand: how much is on the shelf, in the item's unit. Amber when it is at or below the reorder level, red when it is below zero.
  17. Avg cost: the moving average cost the shelf is valued at. On All outlets it is Avg cost (blended): the row's value divided by its quantity. Each outlet's own average is on its own line.
  18. Value: the quantity at the average cost.
  19. Reorder at: the item's reorder level, or — when none is set. On All outlets an amber low at 1 outlet says how many outlets are low.
  20. Last counted: the day the shelf was last counted, or never. by outlet when several outlets hold it: open the row to see each.

The list shows the items at or below their reorder level first, then the rest by name. It holds up to 200 items: search or choose a category to find one further down.

Find an item

  1. Type part of its name or code in Search by name or code….
  2. To narrow it more, choose its category in All categories.
  3. Click the item's name to open its stock card. See Store Room: an item's stock card.

See what needs ordering

  1. Tick Only what needs ordering.
  2. The list shows only the items at or below their reorder level. On All outlets, open a row with ▸ to see which outlet is low.

When nothing is low, the list says Nothing is below its reorder level. That is good news, not an empty store room.

See one outlet's shelf

There are two ways:

  • Choose the outlet in the Outlet box. The list then shows that outlet only, with its own average cost and reorder level on each row.
  • On All outlets, click ▸ in front of an item. A line for each outlet opens under it: its quantity, its own average cost, its value, its reorder level and when it was last counted.

Each outlet keeps its own average cost. The same rice can cost 4.10 a kilo at one outlet and 4.60 at another, because each bought it at its own prices.

Count the kept bottles in

A bottle a customer paid for and left with you is on your shelf, but it is the customer's, not yours. Tick Include customers' kept bottles to see your shelf with them on it.

With Include customers' kept bottles ticked: three quantity columns and a fourth tile.
  1. Held for customers: how many kept bottles the listed items hold, in all.
  2. The line under the filters: why the value does not move. The bottles were paid for on the night they were opened, so valuing them again would count them twice.
  3. Yours: your own stock. Its colour (amber, red) is about your stock only.
  4. Customers': the bottles kept for customers, or —.
  5. Total on hand: the two added up: what is physically on the shelf.

Value, Avg cost and Reorder at stay about your own stock: other people's bottles are no reason to order less. The kept bottles themselves are on the Custody page.
