Print Formats: the bill

The bill a POS prints before payment, part by part — the PROVISIONAL banner, BILL or BILL - NOT A RECEIPT, the date and time printed, Paid so far and Still owing, "This is not a receipt." — what differs from the receipt, and how to make and choose a bill format.

The bill is the paper a POS prints before payment, when the cashier presses Print bill: the guest checks it, then pays. It shows the dishes and the total, never the payments, and it says plainly that it is not a receipt.

Its format is made on the Bill tab of Print Formats, in the same editor as the receipt (see Design a receipt). This guide says what the bill's parts are and what is its own.

Before you start

  • Only an Administrator or a Manager sees Print Formats.
  • A bill format is chosen on a POS terminal setting, Printing tab, Bill format, or made the default.

The bill, part by part

A bill on 58 mm paper, printed while the POS was offline: PROVISIONAL, then the bill as the guest checks it.
  1. PROVISIONAL banner: printed, in the biggest type, only on a bill the cloud has not numbered yet, because the POS is offline. The two lines under it say why: This POS is offline. and Total confirmed on reconnect. Untick the banner and all three are left off.
  2. The outlet's lines: the name, address, phone and registration numbers, as on the receipt. The logo can print above them too.
  3. Title: BILL. At an outlet that gives the official number only when a bill is paid, the bill carries its pending number, and the title says BILL - NOT A RECEIPT.
  4. Bill number: on its own line. A bill not numbered yet prints (not yet numbered).
  5. Date and time printed: when this bill was printed, where the receipt prints when the bill was opened.
  6. The items: as on the receipt, with their second names, modifiers and line discounts.
  7. Bill remark: the cashier's words about the whole bill, under the items, only when the bill has one.
  8. The money: down to the TOTAL with the currency, then Includes … for a tax inside the prices.
  9. Paid so far and Still owing: when part of the bill is already paid.
  10. This is not a receipt. and the outlet's footer.

The bill's parts in the editor

The Bill tab's editor on its Title and details part: Order type and Served by are left off in the Standard.
  1. Title and details: one of the bill's five parts, as the receipt's: Top, Title and details, Items, Money and Bottom.
  2. Queue number: Queue A023: big, and only on a bill that has one (a POS on the sales screen only).
  3. Date and time printed: the bill's own; the receipt has Date and time opened here.
  4. Order type and Served by: listed but unticked in the Standard, because the bill never printed them. Tick them to print them.
  5. + Add a field: the details the Standard bill does not print. See below.

Each part, and what the Standard does with it:

Part (tab)FieldsIn the Standard
TopPROVISIONAL banner, the outlet's lines (Outlet name, Address line 1…, Phone (Tel:), SST no. (SST No:), Header text), the Logoall printed but Country and Email; no logo
Title and detailsTitle: BILL, Queue number, Bill number, Date and time printed, Order type, Table, Guests, Served byall but Order type and Served by
ItemsItem: qty, name and amount, Item second name, Modifiers and set dishes, Line discount (less), Promotions under a line, Bill remarkall
MoneySubtotal, Promotions and vouchers on the bill, Discount, Service charge, Second charge, Tax rows, Rounding, TOTAL, Includes tax, Paid so far, Still owingall
BottomThis is not a receipt., Footer textall

+ Add a field offers, by part: Date and time opened, Area / floor, Opened by, Printed by, POS, Customer name and phone and Customer code (Title and details); Item code, Unit price and Item count (Items).

Some parts show a caution while unticked, never a refusal. For the bill:

  • PROVISIONAL banner: Without this banner a bill printed while the POS was offline looks final, though its total is not confirmed.
  • Bill number: Without the number nobody can find this bill again, for a refund or a complaint.
  • This is not a receipt.: Without this line a guest may take the bill for a receipt and believe they have paid.
  • The items, the tax rows and the TOTAL have their own.

What differs from the receipt

  • The title is BILL (or BILL - NOT A RECEIPT), never RECEIPT, REFUND or VOID.
  • It prints when the bill was printed, not when it was paid.
  • There are no payments, no change and no Member block. Paid so far and Still owing show what part is paid.
  • It ends with This is not a receipt.
  • A bill printed offline before the cloud numbered it says PROVISIONAL.

Make a bill format and choose it

  1. In Print Formats, click the tab Bill.
  2. On the Standard row, click Copy. The window New bill format opens; Name starts as My bill.
  3. Type a Code, such as BILL2, and a Name, such as Bill for tables.
  4. Change the parts you want, on each tab. Try the samples: A dine-in bill with Chinese names, part paid, A take-away the cloud has not numbered yet and A take-away bill with a bill remark.
  5. Click Save.
  6. Choose it: Outlet, POS Terminal Settings, Edit on the setting, Printing tab, Bill format. Or press Make default on its row in Print Formats.

Restaurant default (Standard) in Bill format means the bill's default, named when it is a format of your own. See POS Terminal Settings: Printing tab.
