Staff Report › Attendance
Every clock in and out, from the POS, the attendance machines and the back office. The Daily view with its In and Out pairs, the Monthly sheet for payroll, Raw logs with held punches, the Staff and View boxes, Excel and PDF, and a manager adding or correcting a time with a reason.
On this page
Attendance is the record of when your staff came and went. A punch reaches it from three places:
- The POS: Clock in / out, with the staff member's code and their own clock PIN or clock password. It works offline and is sent later.
- An attendance machine: a ZKTeco machine of the outlet, with a fingerprint, a face, a card or a password.
- The back office: a time a manager adds or corrects here, with a reason.
The page shows them three ways: Daily (paired), each staff member's days with their In and Out times; Monthly sheet, the punch sheet for payroll; and Raw logs, every punch as it came.
Before you start
- You need Attendance (View) in your back office access group, under Reports.
- To add, change or void a time, you also need Attendance corrections (add, change or void a clock in or out) (Edit), under Operations. Without it, the page is read-only.
- A staff member clocks in on a POS only once they have a clock PIN or clock password, and on a machine only once they have a machine PIN. See Staff Master.
Open Attendance
- In the back office's menu, click REPORTS, then Staff Report.
- Click Attendance. It opens on Today, on All outlets, All staff, in the Daily (paired) view.
The page, part by part
Attendance
Clock ins and outs from the POS, the attendance machines and the back office. Daily pairs each In with the next Out; Monthly is the punch sheet for payroll; Raw logs is every punch.

- The title and its line: what the three views are.
- Outlet: All outlets (where it opens), or one outlet. Each outlet is counted on its own business days. A person with one outlet sees no box.
- Staff: All staff, or one person, shown as S001 — Siti Aminah. A switched-off staff member is in the list with (off), so their old days can still be read.
- View: Daily (paired), Monthly sheet or Raw logs. The days, outlet and staff stay as they are when you change it.
- Refresh: reads the punches again, for a clock in made a moment ago.
- The dates: business days, by each outlet's own clock and day-end hour. A punch at 1 am before the day end belongs to the night before, like a sale. See Dates, presets and the business day.
- ⬇ Excel: the view on screen as an Excel file. See Download Excel or PDF.
- ⬇ PDF: the view on screen as a PDF.
- + Add clock in/out: adds a punch somebody forgot. Shown only to people who may correct attendance. See Add a clock in or out.
- The tiles: Staff-days (how many rows: one person on one day), Distinct staff (how many people), Total worked, and Avg per row (the worked time of an average row).
- Date: the business day, such as 23 Oct 2026.
- Staff: the name, with the staff code in grey. The rows go by staff code, then day by day, so a person's days stand together.
- In: when they clocked in, by the outlet's clock, such as 9:02 am. With more than one pair on a day, the columns are numbered In 1, Out 1, In 2… up to six pairs.
- Out: when they clocked out. The time between an Out and the next In is a break, and is not counted.
- Worked: the day's closed pairs added up, such as 8h 8m. A day with more than six pairs says +2 more, and its Worked counts them all.
- Hours: the same time as a number of hours, such as 8.13, for payroll.
- A sub-total: a person's days added up, such as Siti Aminah · 2 days. Shown when a person has more than one day on screen.
- No clock-out: a day that ended on an In. The In is amber, the Out is —, and Worked says No clock-out. The open pair is not counted.
- Total: everybody's worked time on screen.
- The note under the table: how the times are paired. With the right to correct, it ends Click a time to change or void it.
How Ins and Outs are paired
The pairing goes by position, as the attendance machines do. A machine without In and Out keys stamps every punch the same way, so the report does not trust what a punch says it is.
- The first punch of a person's business day is an In, the next an Out, the next an In, and so on.
- A machine's Break out and Break in punches are left out of the pairing.
- A voided punch, and a punch held from a new address, are left out too.
- Each closed pair counts its whole minutes. A day that ends on an In counts only its closed pairs.
The POS uses the same rule for who is clocked in now, so the POS and this report always agree.
The Monthly sheet
Choose Monthly sheet in View. It is the punch sheet the attendance machines print: one row a person, one column a day.

- Standard hours/day: the hours a full day should have, from 1 to 24, in half hours. It starts at 8. It is remembered for you in this browser.
- No: the row's number.
- Staff No: the staff code. The rows go by it.
- A day: its date over its weekday. Saturdays and Sundays are shaded. In a day, I (green) is a clock in, O (red) a clock out, and the grey figure under them the day's worked time. A day with no punch shows -.
- P: days present, the days with a punch.
- A: the days of the range with no punch, weekends included.
- Total Hrs: the worked time of every day added up.
- Total OT: the time worked above the standard hours, added up over the days present.
- Total Short: the time under the standard hours, over the days present.
- A lone I: an In with no Out and no day total, a missing clock-out. The day counts as present, with nothing worked, so all of its standard hours are short. Put it right in Daily or Raw logs.

- Total: the punches of the range that are not voided and not held. Two more tiles, Distinct staff and Machines, say how many people and machines they came from.
- Unmapped: punches from a machine PIN that no staff member has yet.
- Held: punches held because their machine called from a new internet address. Shown only when there are some. They count nowhere: not in a tile, a Daily row or the sheet.
- Time: the date and time to the second, by the outlet's clock, with the outlet's code beside it.
- Staff: the name and code, or unmapped for a machine PIN nobody has. Under it, who corrected the punch and why.
- Machine PIN: the user number the machine sent, or — for a POS or back office punch.
- Source: Machine, POS or Manual (added in the back office). Beside it, what the punch was stamped as: In or Out, or a machine's own Break out, Break in, Overtime in or Overtime out. The pairing goes by position whatever the stamp says.
- Verify: how a machine knew the person: Fingerprint, Face, Card, Password, Palm or a mix such as Fingerprint + card. A POS punch says Clock PIN or password.
- Machine or POS: the machine's name, the POS's code and name, or Back office.
- Edit and Void: change the punch's time, or void it. Shown only to people who may correct attendance, and never on a voided or held punch.
- A voided punch: struck through and grey, with voided by and the reason. It stays in the list and counts nowhere.
- A corrected time: the new punch, with corrected by and the reason. A punch added by hand says added by.
- unmapped: give that machine PIN to the staff member in Staff Master, and the machine's punches under it become theirs. Or Edit the punch and choose the staff member.
- Held: new address: the machine sent this punch from an internet address it is not trusted at. Point at it to see the address. It has no Edit or Void: accept or reject the address in Outlet, Attendance machines, under the machine. Accepted, its held punches join the records; rejected, they are voided.
The list shows 100 punches a page. Under it, Previous, Page 1 of 3 and Next move between pages.
Add a clock in or out
For a staff member who forgot to clock in or out.
- Click + Add clock in/out. The window Add clock in/out opens.
- In Staff, choose the person.
- In Outlet, choose where they worked. With one outlet it is chosen already.
- In Date and time (the outlet's clock), set the time. It starts at now, by your computer's clock.
- In Reason, say why, such as Forgot to clock in. It is optional here.
- Click Add. SAVED shows, and the report reads again.
In or Out is worked out by where it falls in the day: the first punch is an In, the next an Out.
3ReasonShown in Raw logs as who did it and why, and kept in the Activity report.
4- Staff: required.
- Outlet: required: the outlet's clock and business day are used.
- Date and time (the outlet's clock): required. The time is read as the outlet's own clock, whatever your computer's time zone. It may not be more than 10 minutes ahead of now. Whether it is an In or an Out is worked out by where it falls in that person's day.
- Reason: up to 200 characters. Shown in Raw logs as added by you, and kept in the Activity report.
Change a time
- In Daily (paired), click the time. Or in Raw logs, click Edit on the punch.
- The window Change the time: S001 Siti Aminah opens. It says Now: and the punch's time, and The punch is not edited: it is voided and a new one is added at the new time, both kept.
- Set the new time in Date and time (the outlet's clock).
- Type the Reason. It is required, such as Clocked out late by mistake.
- Click Change the time.
Shown in Raw logs as who did it and why, and kept in the Activity report.
3- Now: the punch's time as it stands.
- Date and time (the outlet's clock): the right time.
- Reason: required when a time is changed. Raw logs then shows the new punch corrected by you, and the old one struck through.
- Void it instead: voids the punch rather than moving it, with the same reason. The back office asks Void this punch? first.
- Change the time: voids the old punch and adds the new one. Both stay in Raw logs.
An unmapped punch's window also has Staff, with Keep it unmapped at the top: choose a person to give the punch to them.
Void a punch
For a punch made twice, or by mistake.
- In Raw logs, click Void on the punch. The window Void: S001 Siti Aminah opens. It says The punch stays in Raw logs, struck through, and counts nowhere.
- Type the Reason, such as Punched twice. It is required.
- Click Void (red).
Download Excel or PDF
- Choose the days, the outlet, the staff and the view.
- Click ⬇ Excel or ⬇ PDF. The button says Making…, and the file is saved.
