Pay later outstanding is the list of who owes you money on Pay later, and for how long. It is about one day: what was still owed at the end of that day. Use it to chase old debts, and at a month's end for your books.

What it counts

  • The invoices still unpaid at the end of the day chosen. An invoice is a Pay later payment on a paid bill, a debt added by hand, or a debt moved in when two customers were merged. Each one counts what it still owed after the payments made on or before that day.
  • Aged by the invoice's business day: how many days from the day of the bill to the day chosen.
  • Each outlet's own invoices. An invoice belongs to the outlet that sold. A customer who owes at two outlets has a row at each.
  • As at today, the total is every customer's Owed balance on the Customers page added together.

Before you start

  • You need Pay later Reports in your back office access group.
  • The restaurant's plan must include Pay later and deposits; without it, the three Pay later reports are not in the menu.

Open Pay later outstanding

  1. In the menu, under REPORTS, click Pay Later & Deposit Report, then Pay later outstanding.
  2. It opens on Today. For another day, click Yesterday or type the day in the date box.
  3. Choose the outlet. See The controls every report shares.

The report, part by part

Pay later outstanding as at one day at one outlet.
  1. Pay later outstanding: under REPORTS, in the Pay Later & Deposit Report row.
  2. Outstanding, Activity, SST by payment date: the three Pay later reports, a click from each other. Above the title on the page.
  3. The day: the report is as at the end of this day. It opens on today, the outlet's business day.
  4. Owed: what all the customers owed at the end of the day, with as at and the day under it.
  5. Customers: how many customers owed something.
  6. Unpaid invoices: how many invoices were not fully paid.
  7. Over 90 days: what has been owed more than 90 days. Under it, when there are any: how many invoices are near 12 months, with SST falls due at 12 months unpaid.
  8. By customer: one row per customer at each outlet, by name.
  9. Export CSV: saves the rows as paylater-outstanding- and the day, such as paylater-outstanding-2026-10-23.csv.
  10. Customer: the name, and under it the phone and the customer's code. SST falls due at 12 months unpaid, in amber, when one of the customer's invoices is 335 days or older: a month before SST on an unpaid bill falls due.
  11. Oldest: the day of the customer's oldest unpaid invoice, and how many days ago it was.
  12. The five ages: 0-7 days, 8-30 days, 31-60 days, 61-90 days and Over 90 days: what is still owed on the invoices of each age. Any amount older than 7 days is red. — for nothing.
  13. Total: what the customer owes. The Total row at the foot adds up every column.

With All outlets and several outlets, an Outlet column comes first. The CSV has: Outlet, Customer, Code, Phone, Invoices, Oldest, the five ages, Total owed and SST due within a month.

Chase the old debts

  1. Open the report on Today.
  2. Look at Over 90 days and 61-90 days: those customers are the ones to call first.
  3. A customer with SST falls due at 12 months unpaid: tell your tax agent, or collect before the 12 months.
  4. To take a payment, or see a customer's invoices one by one, open them in Customers. See A customer's invoices and statement.
