Counts shows what your shelf counts found. Each time somebody counts a shelf and posts it, the system compares what they found with what the books said. A loss means the shelf held less than the books, a gain that it held more.

It is the one real figure among the stock reports: everything else is what the documents and recipes said. Read it beside Consumption to see the stock you cannot account for.

Before you start

Open Counts

  1. In the back office's menu, click REPORTS, then Other Reports, then Stock.
  2. Click the Counts tab. It opens on Today and All outlets.

The report, part by part

Counts over the last 30 days: the tiles, the counts, then every counted line, biggest difference first.
  1. The title and its line: Variance is counted less system; a negative figure means the shelf held less than the books.
  2. Counts: how many counts were posted, and under it how many lines were counted.
  3. Lines off: how many counted lines differed from the books, of how many counted. nothing counted in this range when there are none.
  4. Gains: what the lines that found more were worth, and under it the losses.
  5. Net: gains less losses. Under it: the shelf held less than the books, the shelf held more than the books, or the counts agreed with the books.
  6. The counts: one row per posted count, with Doc no, the Date on the count, its Business day and when it was Posted and by whom. Export CSV gives counts.csv. On All outlets, an Outlet column comes first: each count is one outlet's shelf.
  7. Counted: how many lines the count counted.
  8. Off: how many of them differed.
  9. Gain: in green, what its gains were worth.
  10. Loss: in red, what its losses were worth.
  11. The counted lines: every line of the counts, the biggest money first, whichever way it went. Export CSV gives count-lines.csv.
  12. System: what the books said the shelf held.
  13. Counted: what was found.
  14. Variance: Counted less System. Red when less, green with + when more, grey when they agreed.
  15. %: the variance as a share of what the books said, or — when the books said nothing was there.
  16. Value: what the variance was worth. Click an item's name to open its stock card and see how the books got there.

On All outlets, a By outlet panel shows each outlet's Counts, Lines off, Gains, Losses and Net.

Look into a loss

  1. Read the counted lines from the top: the biggest money is first.
  2. Click the item's name to open its stock card.
  3. Look for what the books expected and the shelf did not see: a delivery typed twice, a wastage never written down, a recipe that uses too little.
