Stock is six reports under one row of tabs. Together they tell the story of your store room over the days you choose: what came in, what the sales used, what was thrown away, what the counts found, what is left, and why, one item at a time.

They read the stock ledger: every delivery, sale, wastage, count and transfer that was posted. They change nothing.

Before you start

  • You need Stock Reports (View) in your back office access group, under Reports.
  • An item's name on these reports opens its stock card in the Store Room. That needs Stock Balance (View) too. Without it the name is plain words, and pointing at it says Opening the stock card needs the Stock Balance permission.
  • Only items that track stock are in them. See Which items track stock.

Open the stock reports

  1. In the back office's menu, click REPORTS, then Other Reports.
  2. Click Stock. The first tab, Purchases, opens, on Today and All outlets.
  3. Click another tab to open that report. Each tab is a page of its own, so you can bookmark one.

The tabs, part by part

The stock reports: one row of tabs, then the report of the tab that is open.
  1. Stock: under REPORTS, in the Other Reports row.
  2. Purchases: what came in. The posted delivery notes, by supplier, by item or note by note. See Stock: Purchases.
  3. Consumption: what the sales used, by the recipes, by ingredient or by dish. See Stock: Consumption.
  4. Wastage: what was thrown away, by item, by reason or slip by slip. See Stock: Wastage.
  5. Counts: what the shelf counts found against the books. See Stock: Counts.
  6. Balance: what was on the shelf at the end of one day, and what it was worth. See Stock: Balance.
  7. Stock card: one item, movement by movement, with the balance each left. See Stock: Stock card.
  8. The tab's title and its line: each report says in one line what its figures are, and are not.
  9. Outlet: All outlets (where each tab opens), or one outlet. On All outlets, a By outlet panel shows each outlet's own figures. Each tab remembers its own choice until you sign out.
  10. The dates: business days. Balance is about one day, so it has Today, Yesterday and one date. See Dates, presets and the business day.

Which report answers which question

Your questionOpen
How much did we buy this month, and from whom? Did the price of an item go up?Purchases
What should the kitchen have used? Is a dish's recipe or cost price out of date?Consumption
How much did we throw away, and why?Wastage
Is stock going missing? Which items does the shelf hold less of than the books say?Counts
What is the store room worth today, or at the end of last month?Balance
Why does one item's number look wrong?Stock card

Read Consumption beside Counts: consumption is what the recipes say was used, and only a count is what the shelf really holds. The difference between them is the stock you cannot account for.

What every tab shares

  • Tiles at the top: the report's headline figures for the days and outlets on screen. A list cut short never cuts the tiles.
  • Export CSV on each table: the rows on screen as a file that opens in Excel, names in Chinese included.
  • An item's name opens its stock card in the Store Room, with every movement newest first. See Store Room: an item's stock card.
  • Outlets in two currencies: the report says These outlets count in MYR and SGD, so every total is shown per currency; they are never added together., and each money figure carries its currency.
