On this page
Balance is your store room on one day: every item, how much was on the shelf at the end of that business day, and what it was worth. It is rebuilt from the ledger, so it answers for any day: today, or the last day of last month for your accounts.
On today's date it also checks the ledger against the shelf, and says in red if any item's balance was ever changed outside it.
This report used to be called Valuation. An old link to it still opens it.
Before you start
- You need Stock Reports (View). See Other Reports › Stock.

Balance

- The title and its line: the quantities are exact; the value uses the average cost the ledger recorded.
- Outlet: All outlets (where it opens), or one outlet. See All outlets below.
- Show empty shelves: also lists the items whose shelf was at zero, that have ever moved. Off, only items holding stock are listed.
- Include customers’ kept bottles: counts the bottles kept for customers in the quantity. See The customers' kept bottles.
- The day: Today, Yesterday, or a day in the date box (As at). One day, not a range.
- As at: the day the balance is at. Under it, today's business day, or rebuilt from the ledger to the end of that day for a day gone by.
- Items: how many items are listed: holding stock, or including empty shelves.
- Total value: what your own stock was worth, each item at its average cost.
- Ledger vs shelf: on today's date only. Agree (every balance equals its movements), or 2 items differ in red (a balance was changed outside the ledger). On another day there is no shelf to compare with, so there is no tile.
- The grey note: why a past value can differ a little: a bill that reached the cloud late may carry a later average cost.
- The heading: how many items. Export CSV gives stock-balance-2026-10-23.csv, with the day in its name.
- Item: its name. Click it to open its stock card.
- Unit: the unit the store room counts it in.
- Qty: how much was on the shelf at the end of the day.
- Avg cost: what one unit was worth.
- Value: the quantity at the average cost.

Value the store room at a month's end
- Choose the outlet in Outlet, or keep All outlets.
- In the date box, choose the month's last day, such as 30/09/2026.
- As at reads 30 Sep 2026, rebuilt from the ledger to the end of that day.
- Read Total value, or click Export CSV for your accountant.
The customers' kept bottles
A bottle kept for a customer was sold and paid for the night it was opened. It still stands on your shelf, but it is the customer's.
Tick Include customers’ kept bottles to count them in. Then:
- The quantity splits into Yours, Customers’ and Total. — under Customers’ means the item holds none of anybody's bottles.
- A tile Held for customers says how much, theirs, not yours — worth nothing here.
- A note says Counts bottles kept for customers in the quantity. They are already paid for and held at no cost, so the value stays about your own stock.
- Value does not change: valuing the bottles again would count them twice in your accounts.
- Shelf now is still your own shelf.
All outlets
On All outlets, an item is one row: its quantity is every outlet's shelf added up, and its value is each outlet's quantity at that outlet's own average cost, added up. Under the item, each outlet has a smaller line of its own, with its code, its quantity, its average cost and its value. Avg cost on the item's row is then blended: the value over the quantity.
A By outlet panel shows each outlet's As at, Items, Value and Off ledger. On Today, each outlet is read on its own business day; when they differ, As at names each, such as HQ 23 Oct · BR2 22 Oct.
