Item Sales says what sold: which dishes, how many, for how much, and what they earned after their cost. Use it to find your best sellers, the dishes that sell little, and the ones that earn little for what they cost.

What it counts

  • The lines of paid bills. Lines voided on a bill are left out, and so are open, held and voided bills.
  • Refunds are taken off, on the day the refund was made: a refunded dish takes its quantity and its money back from that day.
  • By business day, and by the POS the bill was opened on when you choose one POS.
  • A set is counted once. A set's price is on the set's own line. The dishes inside it count in Qty, so you know what was made, but not again in the money. Their Cost does count, so a set's profit is its price less the cost of everything in it.
  • The discount is the line's share of every discount: one typed on the line, and its share of a discount on the whole bill, whether manual, a promotion or a voucher.

Before you start

  • You need Item Sales in your back office access group.
  • Cost and Profit come from each dish's Cost price, as it was when the bill was worked out. A dish with no cost price shows a cost of 0.00 and all of its net as profit. See Items: pricing.

Open Item Sales

  1. In the menu, under REPORTS, click Sales Report, then Item Sales.
  2. Choose By item, By category or By report group, then the outlet, the POS and the days. See The controls every report shares.

The report, part by part

Item Sales by item for the last 7 days at one outlet.
  1. Item Sales: under REPORTS, in the Sales Report row.
  2. The view: By item (one row per dish), By category (one row per category) or By report group (one row per report group of the categories). See Three views of the same sales.
  3. How many rows: the rows the report found, most money first.
  4. Export CSV: saves the rows as item-sales.csv.
  5. Qty: how many were sold, refunds taken off. A dish inside a set counts here too.
  6. Discount: what was taken off these lines, shown in red: the line's own discount and its share of the bill's discount.
  7. Net: after the discount, before tax: the amount the tax was worked out on.
  8. Total: what the guest paid for these lines: Net, with any tax added on top. Tax inside the price is already in Net. The service charge is not in it.
  9. Cost: the quantity times the dish's Cost price, as it was when the bill was worked out.
  10. Profit: Net less Cost.
  11. Margin: Profit as a share of Net. — when the net is 0 or less.

By item, each row also has the dish's Code, its Item name and its Category (— when it has none). With All outlets, a dish is one row with every outlet's sales of it together, and the By outlet panel above says what each outlet sold in all (Qty, Discount, Net, Total, Cost, Profit). By POS does the same per POS. See By outlet and By POS.

Three views of the same sales

  1. Choose By item to see each dish. The list shows the first 200 dishes, the ones that took the most money first.
  2. Choose By category to see each category of the menu. A category's row is the sum of its dishes.
  3. Choose By report group to see the report groups the categories are put in, such as FOOD and DRINK. A category with no report group is in a row of —.

The columns stay the same in the three views; only the first one changes (Category, or Report group).

The CSV has, by item: Code, Item, Category, Qty, Discount, Net, Total, Cost and Profit. By category or report group the first column is Bucket, the category's or the group's name. With one POS chosen, a POS column comes first.
