The cash-up history of every POS drawer. Each shift with its POS, who opened it, when it opened and closed, its bills and sales, the float, the cash expected and counted, and the variance, with Net variance, By outlet, By POS and the CSV.

Shifts is the history of your cash-ups. Every time a cashier opens a shift on a POS, counts the drawer and closes it, the shift is a row here: how much cash the drawer should have held, how much was counted, and the difference.

The Variance is what this report is for: the counted cash less what the system expected. A shift that is short is red, one that is over is amber.

Before you start

  • You need Shifts report (View) in your back office access group, under Live service.
  • Shifts are opened and closed on the POS. See Close a shift and count the cash.

Open Shifts

  1. In the back office's menu, click REPORTS, then Other Reports.
  2. Click Shifts. It opens on Today, on All outlets and All POS.

The report, part by part

Shifts over the last 7 days at one outlet: By POS, then every shift, newest first.
  1. Shifts: under REPORTS, in the Other Reports row.
  2. The title and its line: Cash-up history. Variance is counted cash minus expected.
  3. Outlet: All outlets (where it opens), or one outlet. On All outlets an Outlet column comes first in the list, because shift numbers and POS codes repeat from one outlet to the next.
  4. POS: All POS, or one POS's shifts. Not shown while the outlets have only one POS.
  5. Which POS a figure is on: a shift is the POS whose drawer it is.
  6. By POS: each POS's Shifts, how many were Off (counted and not balanced), Bills, Sales and Variance, and All POS under them. Shown only when more than one POS has shifts. It has its own Export CSV.
  7. Net variance: every shift's variance added up, and an amber 2 shift(s) off when some did not balance.
  8. Export CSV: the list as shifts.csv, with Shift, Date (the business day), Terminal, Opened by, Closed by, Bills, Sales, Float, Expected, Counted and Variance. With one POS chosen, its code is in the name, such as shifts-POS1.csv.
  9. Shift: the shift's number.
  10. Terminal: the POS's code.
  11. Opened by: who opened the shift.
  12. Opened: when it was opened.
  13. Closed: when it was closed, or an amber Open while it still runs.
  14. Bills: how many bills were paid in the shift.
  15. Sales: what those paid bills came to.
  16. Float: the cash put in the drawer when the shift opened.
  17. Expected: the cash the drawer should hold: the float and the cash taken, with any pay-ins added and pay-outs taken off.
  18. Counted: the cash counted when the shift closed, or — while it is open.
  19. Variance: Counted less Expected. Red when short, amber when over, grey when it balanced, — before a count.

The shifts come newest first, by when they were opened. Each shift is counted on its own business day.

On All outlets, a By outlet panel shows each outlet's Shifts, Off, Bills, Sales and Variance, and money is never added across two currencies.

Check a short drawer

  1. Find the red Variance, and note its Shift, Terminal and Opened by.
  2. To see that POS's day as a whole, open Day end by POS on that day: its sales, the payments it took and its drawer.
  3. To see who took cash out of the drawer during the shift, open Activity and press Who took cash out of the drawer?.
