Print Formats: X reading and Z reading
A shift's slip (SHIFT CLOSE, SHIFT X READING) and the day's reading (Z READING, the day's X READING) — their sections Top, Sales, Receipt numbers, Payments, Cash drawer, Pay later, Deposits, Shifts, Kept items and By category, hiding a whole section by its heading, the extras, and choosing the formats on a POS terminal setting.
On this page
A POS prints two kinds of reading, and each has its own paper in Print Formats:
- X reading: a shift's slip. SHIFT CLOSE when a cashier closes a shift, or the day end closes it, and SHIFT X READING, a shift's figures so far.
- Z reading: the day's reading. Z READING at the day end, its reprint, and the day's X READING so far.
The tab says which a format prints, because the title on the paper does not: whatever the paper is titled, the X reading format prints a shift's slip and the Z reading format the day's. Both are printed by each POS itself, offline too, and again from its reports.
Before you start
- Only an Administrator or a Manager sees Print Formats.
- Whether a POS prints its readings at all is the POS terminal's Shift & day end tab. See Shift & day end.
A reading, part by part
- The title: SHIFT CLOSE or SHIFT X READING on the X reading's paper; Z READING or X READING on the Z reading's. Under it, the banner: *** X - NOT THE DAY RECORD *** on the day's X READING, *** REPRINT *** on a reprint.
- Outlet name and Business day.
- A shift's slip only: POS: whose drawer, Shift no, Opened by, and CLOSED AT DAY END when the day end closed it. A reading made on one POS also says which POS it Covers, and which are Not in this reading.
- The times: Start and End of the shift (on the Z reading, First shift and Day end), By whom, and Printed when.
- SALES: Orders, Guests, Gross sales, Discounts, Tax in price, Net sales, Service charge, Tax, Surcharge, Tips, Rounding; each that is zero is left out.
- GRAND TOTAL, then the deposits counted as sales and SALES AFTER DEPOSITS when there are any, then Refunds and Voids, each with how many.
- RECEIPTS: the official receipt numbers of each POS, first and last, the Count, Explained gaps, and None missing or MISSING with the numbers.
- PAYMENTS: each method with how many and the amount, then Total paid.
- CASH DRAWER: Opening float, Cash sales, the cash of Pay later and deposits, Paid in, Paid out, Expected, Counted (or Not counted yet).
- Difference, or SHORT or OVER with the amount. A shift's slip may follow with the CASH COUNT, note by note. Then, when there are any, PAY LATER, DEPOSITS, the day's SHIFTS (Z only), CUSTODY (kept items) and SALES BY CATEGORY.
The readings' parts in the editor
Each reading's format is cut into the parts of the paper, one tab each: Top, Sales, Receipt numbers, Payments, Cash drawer, Pay later, Deposits, Shifts (the Z reading only), Kept items and By category.
| Part | Size | Bold | |

| ⠿ ☑ | Difference, SHORT or OVER | − Tall + | ☑ |
| ⠿ ☐ | CASH COUNT heading (hide it to leave the whole count off)4 | − Normal + | ☑ |
- The line under the X reading tab: what the X reading's paper is. The Z reading tab has its own: The Z reading is the day's reading: Z READING at the day end, its reprint, and the day's X READING so far. Printed by each POS itself, offline too, and again from its reports.
- The part tabs: one per section of the reading, in the order it prints. The Z reading has a Shifts tab as well.
- A section's heading: each section prints under a heading in capitals. Untick the heading to leave the whole section off the paper, as its name says.
- CASH COUNT heading, unticked: the shift's slip leaves off the whole note-by-note count.
- + Add a field: here Expected less float, the cash the drawer took.
What each tab holds:
| Tab | Its fields |
|---|---|
| Top | Title, the *** X - NOT THE DAY RECORD *** / *** REPRINT *** banner, Outlet name, Business day, (X only) POS: whose drawer, Shift no, Opened by, CLOSED AT DAY END, then Covers, and Not in this reading (one POS's own), Start / First shift (when it started), End / Day end, By: who closed it, Printed at |
| Sales | the SALES heading, Orders to Rounding, GRAND TOTAL, the deposits as sales and SALES AFTER DEPOSITS, Refunds, Voids |
| Receipt numbers | the RECEIPTS heading, POS of each run, which numbers a run is (Invoices, Payment receipts or Deposits), First and last number, Count, Explained gaps, None missing, MISSING |
| Payments | the PAYMENTS heading, Each method: name (how many) and amount, Total paid |
| Cash drawer | the CASH DRAWER heading, Opening float, Cash sales, Debt collected (cash), Deposits taken (cash), Deposits refunded (cash), Paid in, Paid out, Expected, Counted, Difference, and (X only) the CASH COUNT heading, each note or coin and Total counted |

| Deposits | the DEPOSITS heading, Taken, Used on bills, Refunded, Forfeited, Still held, Held orders waiting, Past date / expired |
| Shifts (Z only) | the SHIFTS heading, each shift's POS and number, Opened by, Start, End or Still open, its methods, Collected |
| Kept items | the CUSTODY heading, Kept, Collected |
| By category | the SALES BY CATEGORY heading, Each category and its sales |
+ Add a field offers, each worked out from figures the reading already holds: Average per order and Average per guest (Sales, under the GRAND TOTAL), Sales less refunds (under Refunds and Voids), Payments (how many) (under Total paid), Expected less float (Cash drawer) and Total of the categories (By category).
The figures the reading is about are never meant to go missing: unticking one shows a caution, for example Without the GRAND TOTAL the reading does not say what the sales came to. or Without Expected the cashier has no figure to count the drawer against. The money adds up in a fixed order, so the rows of a section can be resized and made bold, not moved.
The samples: on the X reading A shift closed and counted note by note, A shift the day end closed, A shift's figures so far: SHIFT X READING and A shift with Pay later and deposits: their cash in the drawer; on the Z reading The day's Z: two POS's receipt numbers, one with numbers missing, The day's Z worked out on one POS, with its three shifts, The day's X so far: not the day record, The day's Z with Pay later: invoices, debts collected and hold sales and The day's Z with deposits taken, used, refunded and forfeited.
Make a reading format and choose it
- In Print Formats, click the tab X reading (or Z reading), then Copy on the Standard.
- Type a Code and a Name, such as XSHORT and Short shift slip.
- Untick the sections you do not need by their headings, resize what matters, then click Save. The big green SAVED says Choose it on a POS terminal setting (Printing tab, X reading format), or make it the default.
- In Outlet, POS Terminal Settings, click Edit on the setting, the Printing tab, and choose it in X reading format (or Z reading format).
- Click Save.
Under the two pickers the Printing tab says: The X reading format prints each shift's slip (SHIFT CLOSE, SHIFT X READING); the Z reading format prints the day's reading (Z READING, its reprint, the day's X READING). The POS prints both itself, offline too.
