Print Formats decides how every paper a POS prints looks: what prints, how big, how bold, in what order. Each paper has a Standard built in, the paper every POS printed before print formats existed. You make formats of your own from it, then choose them where that paper is used.

This guide is about the page itself: its tabs, its list and its buttons. How the editor works, part by part, is in Design a receipt; it is the same editor for every paper.

Before you start

  • Only an Administrator or a Manager sees Print Formats in the menu.
  • A format changes nothing until it is chosen, or made the default. Have the place where it is chosen in mind (the table below).

Open Print Formats

  1. In the menu, under MASTERS, click General Setup, then Print Formats.
  2. The tab Receipt is open.

The page, part by part

Print Formats: one tab per paper, the built-in Standard first, then the restaurant's own.
  1. Print Formats: under MASTERS, in General Setup.
  2. The line under the title: what a format changes, and where each paper's format is chosen. It ends with the QR ordering and kiosk slips.
  3. The paper tabs: one per paper, Receipt to Kiosk slip. Each tab has its own list and its own Standard. See the next part.
  4. The first row: the paper's Standard, code built in, Today's paper, exactly. It has Copy, and Make default while another format is the default. It cannot be edited or switched off. On QR ordering and Kiosk slip this row is called Built in.
  5. Changes: how many parts of the format differ from the Standard, such as 6 changes from the Standard. A part moved, made bigger, hidden or given its own letter style counts, and so do the base size, the line spacing, the logo and each label design.
  6. Used by: what prints by the format, such as Used by 2 terminal settings and 1 kitchen station, or 1 QR profile. On the default row, Everything that chose nothing.
  7. Status: Default (printed wherever nothing is chosen), Active (can be chosen) or Switched off.
  8. Edit, Copy, Make default and Disable on a format of your own.
  9. Enable on a switched-off one. Its row is drawn paler.
  10. The note under the list: what the Standard is. On QR ordering and Kiosk slip it says what the built-in slip is.

Each paper has its own guide: the bill, the kitchen slip, kitchen labels, the master slip, the X and Z readings, the deposit slip, invoice and payment receipt, the QR ordering slip and the kiosk slip.

Make a format

  1. Click the paper's tab, for example Bill.
  2. On the Standard row, click Copy. Or click Copy on a format of your own to start from it.
  3. The window New bill format opens with the parts already filled in. Copying the Standard, Name starts as My bill and Code is empty; copying a format, the name gets (copy) and the code a 2.
  4. Type a Code (up to 20 characters) and a Name (up to 100).
  5. Change the parts you want. The sample on the right changes as you work.
  6. Click Save. The big green SAVED says where to choose it, for example Choose it on a POS terminal setting (Printing tab), or make it the default.
The same editor for every paper: the settings of the whole paper, the parts in tabs, the sample beside them.
  1. Code and Name: both required.
  2. Base size, Line spacing and Letter style: for the whole paper. See Letter styles.
  3. The part tabs: the paper in parts, top to bottom. Each part's fields have a tick (print it or not), a Size with − and +, and Bold. + Add a field at the foot of a tab lists the details the Standard does not print.
  4. Reset to the Standard: every part back as the Standard prints it.
  5. 58 mm / 80 mm and the sample to draw: try each one. Papers with the outlet's lines on top also have a tick to draw your working outlet's own header.
  6. Amber lines are warnings, such as how few characters a big size leaves on a line. Red lines are problems the cloud refuses to save.
  7. The sample paper: the layout both POS apps print. Click a part to choose it, drag it to move it.

Make a format the default

The default is what every POS prints when nothing is chosen for that paper.

  1. On the format's row, click Make default.
  2. The note says, for example, Receipt with logo is the receipt default. Its status turns Default.

To go back, press Make default on the Standard row: The Standard receipt is the default again. The QR ordering tab has no Make default: a QR profile that chooses nothing prints the built-in slip.

Change, copy, or switch off a format

  • Edit opens the format again. After Save: Each POS prints by it from its next pull.
  • Copy starts a new format from this one.
  • Disable asks first and says what happens, for example Switch RCPT2 off? Used by 1 terminal setting: they will print the receipt default, or the Standard. When it is the default it adds It is the receipt default; the Standard becomes the default. After OK: RCPT2 switched off.
  • Enable switches it on again: RCPT2 switched on. The settings and stations that chose it keep the choice, so they print by it again.

A print format is never deleted, only switched off.

When a POS prints by it

A POS learns a change at its next contact with the cloud, within five minutes, and keeps the format, so it prints by it offline too. To send it at once, press ⋯, Reload on the POS's row in Outlets, POS terminals. A POS app from before print formats prints the Standard.
