POS Terminal Settings: set the next number

Numbers, on the POS Terminal Settings list. Each POS on a setting with the next pending, receipt and refund number it gives (and its next invoice, payment receipt and deposit number), and how to set a running number by hand, with the reason that is kept with the numbers it skips.

Each POS counts its own numbers. Numbers, on a setting's row, lists every POS that uses the setting with the number each one gives next, and lets you set a running number by hand: when a new restaurant carries on from the numbers of its old system, for example, or to start a new year at 1.

A number can only go forward: never to one that has already been used. The numbers it skips are written down with your reason, so the Numbering check report shows the gap as explained, never as missing.

Before you start

  • You are an Administrator or a Manager.
  • The setting is applied to at least one POS.
  • A series on the outlet's standard numbering, such as the default refund number, is shared by every POS of the outlet and cannot be set here. Give the setting a format of its own first. See Number formats.

Open it

  1. In the menu, under MASTERS, click Outlet, then POS Terminal Settings.
  2. Click Numbers on the setting's row.

The window, part by part

Numbers: each POS on the setting, and the number it gives next.
  1. The line on top: what the window shows, and the rule: never a number already used, and the numbers skipped are kept with your reason.
  2. POS: each POS that uses the setting, its code and name.
  3. Outlet: its outlet's code, and how the outlet numbers its bills: Receipt numbers are given when a bill is paid., Receipt numbers are given when a bill is paid, from 2026-11-01., or Bills are numbered when they are opened (the old way).
  4. Next pending number: the number the POS's next bill will carry while it is open.
  5. Next receipt number: the number the next bill paid on this POS will get.
  6. Next refund number: the POS's next refund. Next invoice number, Next payment receipt and Next deposit number follow when the cloud has them.
  7. A number: the next number in full, Default format under it when the series uses the default; then a box with its running number, and Set, greyed until the number is changed.
  8. Outlet's standard numbering: the series is the outlet's, shared by its POS, so there is nothing to set for one POS.
  9. Close: closes the window. Each Set is saved on its own.

Set the next number

  1. In the POS's row, find the series, such as Next receipt number.
  2. Type the new running number in its box, such as 100. A box opens under it: Why? (kept with the numbers it skips).
  3. Type the reason, such as Carry on from the old system.
  4. Click Set. Under it the window says Next: and the number, such as Next: BART01-261023-0100, and a big SAVED shows The next number is BART01-261023-0100.
A running number changed: the reason, then Set.

The POS gives that number next, from its next pull. With a format that starts again every day, month or year, the number set is for the present day, month or year. The numbers skipped, here 0042 to 0099, are kept with your reason and your name, and the Numbering check report shows them as Set by hand. See Sales Report › Numbering check.
