Print Formats: Deposit slip, Invoice, Payment receipt
The three papers of customer accounts — the DEPOSIT slip, the INVOICE - PAY LATER and the PAYMENT RECEIPT — their parts with the receipt's five tabs, the customer and shop copies, and why each is chosen by making it the default.
On this page
Three papers record money that is not a plain sale, and each has its own tab in Print Formats:
- Deposit slip: money held for a customer, titled DEPOSIT, never as a sale. Its code and QR find the deposit when the customer comes back. A deposit's refund prints on the same paper, titled DEPOSIT REFUND.
- Invoice: a Pay later bill, titled INVOICE - PAY LATER, never RECEIPT. It shows what was paid now and what is OWING.
- Payment receipt: money received against Pay later invoices, titled PAYMENT RECEIPT: the amount, the method, the invoices it pays and the balance still owing.
All three are made in the same editor as the receipt, with the receipt's five tabs. Unlike the receipt, none is chosen on a POS terminal setting: you make a format the paper's default, and every POS prints by it.
Before you start
- Only an Administrator or a Manager sees Print Formats.
- Pay later and deposits are switched on per outlet, with how many copies of an invoice and of a deposit slip print: Outlets, the outlet, Pay later & deposits. See Outlets: Pay later & deposits.
The three papers
- Title: DEPOSIT: the slip says it is money held, not a sale.
- CUSTOMER COPY / SHOP COPY: which copy this is. The shop copy of a deposit slip also prints Customer signature ____________.
- DEPOSIT (the amount): tall and bold. A top-up prints TOP-UP and its number, and Total held. Then Paid by each method, the change, and on an order kept for its day the Bill total and Balance to pay on the day.
- Deposit code (with its QR): big, centred, with the QR code under it. Then Valid until.
- Deposit terms: the outlet's own words, set on Outlets, Pay later & deposits. Then Taken by and the footer.
- Title: INVOICE - PAY LATER, the copy, the Invoice number (INV), the date and time, the order type, table, guests and server, and the Customer name and phone.
- The money: the items and the totals as the receipt prints them, then Paid now and OWING.
- I agree to pay … Signature ____ on the shop copy, then Charged by and approved by.
- Title: PAYMENT RECEIPT, the Payment receipt number (PR), the date and time, the outlet and POS, the customer.
- Invoice paid: number, date and amount: one row for each invoice the money pays.
- AMOUNT RECEIVED, Method and reference (Paid by), Tendered and change, and Balance still owing, as the POS knows it then. Then Received by and the footer.
Their parts in the editor
The three papers have the receipt's five tabs: Top, Title and details, Items, Money and Bottom. Top holds the outlet's lines and the *** REPRINT *** banner, as on the receipt.

What each paper is about can be unticked, but shows a caution while it is: on the deposit slip, for example, Without the code the deposit cannot be found or scanned when the customer comes back.; on the invoice, Without this title a Pay later invoice can be taken for a paid receipt.; on the payment receipt, Without these rows the paper does not say which invoices were paid.
The samples: A deposit on its own, customer copy and An order kept for its day, a top-up, shop copy (deposit slip); Part paid now, the rest on Pay later, shop copy (invoice); Two invoices paid in cash (payment receipt).
Make a format and make it the default
- In Print Formats, click the tab Deposit slip, Invoice or Payment receipt.
- On the Standard row, click Copy, type a Code and a Name, change the parts, and click Save. The big green SAVED says, for example, Make it the deposit slip default: every POS prints its deposit slips by it from its next pull.
- On its row, click Make default. The note says Deposit with terms is the deposit slip default.
To go back to the Standard, press Make default on the Standard row.
