Activity is your restaurant's own history: who voided or refunded a bill, who gave a discount, who changed a price, who took cash out of the drawer, who signed in, and much more. Every row is one sentence, such as Aisyah voided bill 88231 at Kopitiam Demo on POS1.

It is read by asking a question: a row of buttons at the top, each one a question in plain words. The boxes under them narrow the answer.

Before you start

  • You need Audit Log (View) in your back office access group, under Reports. It is given by name only: a group with every report (reports.*) does not get it. Tick it on the group on purpose. An Administrator has it.
  • To open a row and read what changed, the group also needs the action See what changed (before / after) on the Audit Log. See Back office access groups.

Open Activity

  1. In the back office's menu, click REPORTS, then Other Reports.
  2. Click Activity. It opens on Today, on Everything.

The report, part by part

Activity on today: the questions, the boxes, and the day's history as sentences.
  1. Activity: under REPORTS, in the Other Reports row.
  2. The title and its line: times are your clock, and an action done on a POS that was offline reads at the time it was done.
  3. Export CSV: the rows loaded on screen as activity.csv: When it happened, Done on the POS at, Reached the cloud at, Who, Their code, What happened, Outcome, Outlet, Kind, Reference, Action and Entry, in your own clock. Only what is loaded is exported: press Show 50 more first to export more.
  4. The dates: Today, Yesterday, Last 7 days, Last 30 days, or your own days. Here the days are calendar days in your own clock, not business days: three in the morning is under the day it happened, so you can find what somebody did at night. At most 400 days at a time.
  5. The questions: each button is a question, and lights blue while it is the one asked. See The questions.
  6. The line under them: what the lit question shows. When you change the filters by hand, it says Narrowed by hand — the filters below are what is being asked.
  7. Outlet: Every outlet you may see, or one outlet. An outlet closed since says (closed).
  8. Person: Everybody, or one person, people switched off since included, with (switched off). A person with a back office and a POS account is listed twice, (Back office) and (POS).
  9. Search: a name, a bill number or a POS code. It searches the names and codes on the rows.
  10. More filters: opens four more boxes. See More filters. Press Fewer filters to fold them away.
  11. Only what changed something: leaves out opening a sensitive screen and running a report, which are recorded too.
  12. The heading: how many entries, such as Showing 50 of 214 entries. The rows come newest first, under a heading for each day: Today, Yesterday, then the date.
  13. The time: when it happened.
  14. The sentence: who, what, where, and on which POS. The amount and the reason are not in the list: open the row to read them.
  15. What changed: opens the row. Shown only to people with See what changed (before / after); for others the heading says What changed is behind its own permission, which this account does not hold.
  16. Done offline: on a row a POS did while it had no internet, a quiet line says when it was done and when it reached the cloud. The row stands at the time it was done.
  17. Refused (amber) or Failed (red): somebody tried and was not allowed, or it broke. Somebody is written when a refused sign-in matched nobody.
  18. Show 50 more: reads the next 50. The list reads 50 at a time.

The questions

EverythingThe whole history for these days, newest first.
Who voided or refunded a bill?Bills voided and bills refunded. A refund is written against the bill it paid back.
Who gave a discount?Discounts put on a bill, including the ones that were refused.
Who changed a price on a bill?A dish's price changed by hand on a POS, for that bill only. Open an entry for the item, the old and new price and who approved it.
Who changed a price?Changes to an item, where its prices live. Price levels are their own kind under More filters.
Who took cash out of the drawer?Money paid into or taken out of a drawer during a shift.
Who signed in?Sign-ins, and the attempts that were turned away: the row that answers "was anybody trying to get in at 3am".
Which POS refunds did the cloud not accept?A refund made on a POS that the cloud could not put in its books. The money was given back all the same, so each needs a look.
Which deposits did a POS refund in a manager’s name?Deposits refunded, voided, forfeited or extended on a POS, naming a manager whose PIN only the POS checked.
What money moved through a main POS’s door?Money a main POS moved for its sub or waiter POS, in the name of the person there.
What was refused?Everything somebody tried to do and was not allowed to.

Clicking a question keeps your dates, outlet, person and search, and sets the rest.

More filters

  • What they did: Anything, or one action, such as Voided, Discounted, Changed, Sign-in, Opened a screen or Ran a report.
  • How it ended: However it ended, It went through, It was refused or It broke.
  • Kind of thing: Anything, or one kind, such as bill, item, POS shift or cash movement.
  • Which one: the bill, item or document number, such as 1042.

Open a row: what changed

One entry, opened: who, where, on which POS, why, and what was written down.
  1. When, what and the entry: the date and time, the kind and its number, and the entry's own number.
  2. Who, Where and POS: the person and their code, the outlet (or The whole business), and the POS (or Not from a POS). A row done offline adds Done offline with both times.
  3. What changed: whatever was written down with the action, one line per detail. Some rows also show Why (why it was refused), or The POS said it happened at for a POS clock the cloud did not accept. A row cut short when it was stored shows As it was stored, as it stands.

Press Close, or the Esc key, to go back to the list.

Find who voided a bill

  1. Choose the day in the dates.
  2. Click Who voided or refunded a bill?.
  3. Type the bill number in Search, or open More filters and type it in Which one.
  4. Click What changed on the row to read the reason and who approved it.

What if…
