The controls every report shares

The boxes and panels at the top of the back office reports. The Outlet box, the POS box and the line under it, the dates, the By outlet and By POS panels, the note on several currencies, and Export CSV with its file names.

Every report in Reports is built the same way. At the top right are the boxes that say what the report is about: which outlets, which POS and which days. Under the headline figures, two panels show how the total is made up: By outlet and By POS. Each table has its own Export CSV.

Learn these once and every report reads the same. This guide uses the Sales report to show them.

Before you start

  • You see a report only when your back office access group has its right, for example Sales Reports for Sales, Item Sales for Item Sales, Payment Summary for Payments. An administrator ticks them in Back office access groups.
  • A report shows only the outlets you may see. Someone who works at one outlet sees that outlet alone.
  • Reports are never locked by the subscription: after a trial or a plan ends you can still read and export them.

The top of a report, part by part

The top of the Sales report: the title, the Outlet and POS boxes, the dates, and the line that says which POS a figure is counted on.
  1. The title and its line: the report's name, and one sentence on what it counts. Each report's guide explains its own.
  2. The business days line: shown only while you use a quick date and the outlets on screen are on different business days, for example one outlet has passed its day-end hour and another has not. Each outlet is then counted on its own days. See The business day.
  3. Outlet: All outlets, or one outlet, named Code — Name, such as HQ — Kopitiam Demo. A report opens on All outlets. Your choice is remembered for that report for the rest of your session. If you have only one outlet, the box is not shown.
  4. POS: All POS, or one POS of the outlets on screen, named Code — Name, such as T01 — Counter. With several outlets the outlet comes first: HQ · T01 — Counter. A POS that is switched off says (switched off). The box is shown only on the reports that can be cut by POS, and only when there is more than one POS to choose.
  5. The quick dates: Today, Yesterday, Last 7 days and Last 30 days. The one in use is blue. A report opens on Today.
  6. From and to: the first and the last business day, both counted in. Typing a date turns the quick date off.
  7. Which POS a figure is counted on: one short line, shown when there is more than one POS. See Which POS a figure belongs to.

Choose the outlet, the POS and the days

  1. In Outlet, choose All outlets or one outlet. The POS box then lists the POS of that choice only.
  2. In POS, choose All POS or one POS.
  3. Click a quick date, or type the days in From and to.
  4. The report reads again. While it reads, it says Loading….

Some reports are about one day, not a range: Pay later outstanding, Deposits held, Balance and Day end by POS. Their dates are Today, Yesterday and one date box. See Dates, presets and the business day.

Which POS a figure belongs to

One bill can touch two POS: a waiter opens it on one, the cashier takes the money on another. So each report says which POS it counts a figure on:

By outlet and By POS

Under the headline figures, a report can show what its total is made of.

The two panels under the Sales report's figures, with All outlets and All POS chosen.
  1. By outlet: one row per outlet, named by its code and name. It is shown only when the report covers more than one outlet.
  2. All outlets: the report's own total, at the foot. The outlets' rows add up to it, because the cloud counts both from the same bills.
  3. By POS: one row per POS that has figures, with the line that says which POS a figure is counted on. It is shown only when more than one POS has figures. With one POS chosen in the box, the whole report is that POS's, and this panel is not shown.
  4. Export CSV: saves the By POS table as a file: the outlet, the POS, the POS name, then each figure.
  5. No POS: what belongs to no POS, such as a QR order not yet paid, or money counted in no POS's shift.

The foot of By POS is All POS, the report's own total. Among several outlets the Outlet column is added, since POS codes repeat from one outlet to the next.

Outlets in two currencies

When the outlets on screen count in more than one currency, a report never adds them together. An amber line says so, for example These outlets count in MYR and SGD, so every total is shown per currency; they are never added together. Each total is then shown per currency: a set of headline figures for each, a row per currency in the tables, and All outlets · SGD at the foot.

Export CSV

Each table of a report has its own Export CSV, at the right of its heading. It saves the rows of that table, as a .csv file, to your browser's downloads.

  • The first line is the column names. Money is plain numbers, ready to add up.
  • Chinese and Malay names open correctly in Excel.
  • The file is named after the report, such as sales.csv or item-sales.csv. With one POS chosen, its code is added to the name (sales-T01.csv) and a POS column comes first on every row.
  • A table with no rows saves no file.

See Export CSV, PDF, print and email.
