POS terminals: Reload, Unpair code, Replace this Main POS

Three things the ⋯ menu of a POS does to its device - Reload, which makes the POS take its settings now; Unpair code, a one-time code typed in the POS's Staff code box that unpairs it; and Replace this Main POS, for a Main whose device is broken or gone, with its backup copy and the POS linked to it.

Each POS on the outlet's POS terminals tab has a small ⋯ menu. Besides Pair or Re-pair, three of its actions reach the device itself:

  • Reload: the POS takes its settings again now, instead of at its next sync.
  • Unpair code: a one-time code that frees the device from this POS. There is no Unpair button on the POS apps: only this code, from the back office, unpairs one.
  • Replace this Main POS: a new device takes the place of a Main POS that is broken or lost, and the POS linked to it stay linked.

Before you start

  • You are an Administrator or a Manager, and you may change the outlet.
  • Replace this Main POS also needs the right to edit POS terminals.

Open the ⋯ menu

  1. In the menu, under MASTERS, click Outlet, then Outlets.
  2. Click Edit on the outlet's row, then the POS terminals tab.
  3. Click ⋯ at the end of the POS's row.
⋯ on a Main POS's row.
  1. Pair / Re-pair: a pairing code for the POS. See Outlets: POS terminals tab.
  2. Reload: for a POS that has been paired.
  3. Unpair code: for a POS a device holds right now. Not shown while a new pairing code is waiting to be used.
  4. Replace this Main POS: in red, for a switched-on Main POS that has been paired.

Reload

A POS takes changes from the cloud by itself, at its next sync. Reload asks it to take everything again now: its settings, its menu, its prices.

  1. Click ⋯ on the POS's row, then Reload.
  2. The tab says Reload sent to T01. It reloads within a minute when it is online.

The POS collects the request at its next check-in, about once a minute while FooodPos is open, whether or not anybody is signed in. It reloads in the background, without taking a cashier off the bill in front of them. A POS that is switched off or has no internet reloads when it is back, within an hour.

Unpair code

Unpairing frees the device: it goes back to its pairing screen and can be paired again, as this POS or another. It is made hard on purpose, so that nobody at the counter can do it alone: a manager makes a code in the back office, and somebody types it on the POS.

  1. Click ⋯ on the POS's row, then Unpair code.
  2. The window Unpair code for T02 shows the code, once.
  3. Read it out, or write it down, for whoever is at the POS. Click Done.
The one-time unpair code, shown once.
  1. For … only: the POS the code is for. It unpairs no other.
  2. The code: four digits, a dash, then eight letters and digits with no I, L, O, 0 or 1, so it can be read over the phone.
  3. Works until: the time it stops working, on your computer's clock, 30 minutes after it was made.
  4. How to use it: On that POS's sign-in screen type this code in the Staff code box and press Sign in. It works once, for this POS only, for 30 minutes.
  5. Shown once: the code is kept nowhere but as a scrambled copy. Lost, make a new one: that stops this one.
  6. Done: closes the window. The code still works until it is used or runs out.

On the POS

  1. Sign out, so the POS shows its sign-in screen.
  2. Type the code in the Staff code box, and press Sign in.
  3. The POS says Sending what this POS has not sent yet… and sends every bill it still holds.
  4. It asks Unpair this POS? and says what happens, and whether everything reached the cloud.
  5. Press Unpair. It says Unpairing…, then goes to its pairing screen.
The POS asks before it lets go of its pairing.

When bills have not reached the cloud, the second line says how many, for example 2 bills (5 changes) have still not reached the cloud., and what becomes of them: they stay on the device. Paired again as the same POS, they go up; paired as another POS or to another restaurant, they stay on the device, listed, and are never sent there. Cancel changes nothing.

After unpairing, the POS's row shows Not paired. To use the device again, make a pairing code with ⋯, Pair.

Replace this Main POS

For a Main POS whose device is broken, stolen or gone. A new device becomes the Main with the same code: its Sub and Waiter POS stay linked, and nobody else is paired again.

  1. Click ⋯ on the Main POS's row, then Replace this Main POS.
  2. Read the question. It says what happens to the old device, to the POS linked to the Main, and to its open bills.
  3. Type the Main POS's code, such as T01, in the box, and click OK.
  4. The Pairing code window opens with a code for the new device, and a green line about what happens next.
  5. Pair the new device with the code. It needs the internet for that minute. See Pair a POS terminal.

What comes back, and what may be lost

  • The open bills come back from the cloud's copy.
  • A Main working Through the internet: every POS sends its own sales, so only what the old Main itself had not sent is lost. The question then says T01's open bills come back from the cloud's copy.
  • A Main working On your own network only: it holds every sale of its Sub and Waiter POS, and keeps a backup copy on a second drive. The new device offers to restore it: This POS replaces T01. Restore its backup copy? Plug in the drive that was in the old Main, then Restore this copy, or Go on without a copy: the bills then come from the cloud. Whatever the old Main had not sent, and that is on no backup copy, is lost with it. The new Main then brings itself up to date (the restaurant's settings, the open bills, the open shifts and the bill numbers) and says T01 is back on this POS. Nothing can be sold on it until this has finished.
  • The Sub and Waiter POS find the new device by themselves. Each needs the internet for a moment first, to take its new link key.

Replace a Sub or Waiter POS instead

A Sub or a Waiter is not replaced this way. Click ⋯, then Re-pair, and pair the new device with the code. The old device is signed out at once.
