The Stock card report is one item's story over the days you choose. It starts from the balance the ledger held the day before, lists every movement in business-day order with the balance each one left, and ends on the closing balance. Use it to explain a number: why the shelf holds 15 when you expected 20.

Its running balance is a real balance, not a subtotal: it starts from the opening, so the Balance on a line is what the shelf held after that movement.

Before you start

  • You need Stock Reports (View). See Other Reports › Stock.
  • The Store Room has its own stock card, newest first, with the date and time of every movement. See Store Room: an item's stock card. This report is the one for a range of days, with an opening and a closing balance.

Open the Stock card

  1. In the back office's menu, click REPORTS, then Other Reports, then Stock.
  2. Click the Stock card tab. It says Choose an item to see every movement of it — what came in, what went out, and the balance it left behind.
  3. Type a few letters of the item in Search items…, then choose it in the list beside, which starts at Choose an item….
  4. Choose the days. The card appears.

The card, part by part

The Stock card of one bottle over the last 7 days at one outlet.
  1. The title and its line: one item, in business-day order, from the opening balance.
  2. Outlet: All outlets (where it opens), or one outlet. See On All outlets.
  3. Search items…: narrows the item list as you type.
  4. The item: the item the card is about, shown as D011 — Guinness Stout 320ml. It lists the items the outlets on screen have stock for. An item switched off since says (switched off). An item chosen and then searched away from stays chosen, shown as The item on screen.
  5. Include customers’ kept bottles: adds the customers' shelf. See The customers' kept bottles.
  6. Opening balance: what the ledger held at the end of the day before From, in the item's unit.
  7. Came in: how much came in during the range, and under it what it cost.
  8. Went out: how much went out, and what it cost.
  9. Closing balance: the opening, plus what came in, less what went out. It is the same figure Balance gives for the to day.
  10. The grey note: a voided document keeps both its rows on the card: what it did, and the mirror that undid it.
  11. The heading: the item's name (click it to open its Store Room card), its code, switched off when it is, and how many movements. Export CSV gives a file named such as stock-card-D011-2026-10-17-to-2026-10-23.csv.
  12. Date: the movement's business day.
  13. Document: the bill number, the stock document number, or a kept item's code. — when there is none.
  14. What: what moved it. See What each word means.
  15. In: how much came onto the shelf, in green.
  16. Out: how much went off it, in red.
  17. Balance: what the shelf held after this movement.
  18. Unit cost: what one unit of this movement was worth: for a delivery, the invoice's price; otherwise the shelf's average.
  19. Value: the movement's quantity at its unit cost.
  20. Avg cost after: the shelf's average cost after this movement. A delivery at a new price moves it; a sale does not.
  21. Note: for an ingredient, the dish that used it (for Beer Battered Fish); for a kept bottle, the keep's code and the customer in bold; otherwise the note typed on the document.
  22. The opening line: on the first day, always drawn, even when nothing moved.
  23. A kept bottle's movement: under its business day, the date and time it happened.
  24. The closing line: on the last day: everything that came in and went out, and the closing balance.

The customers' kept bottles

Tick Include customers’ kept bottles to put the customers' shelf on the card beside yours. Then:

  • A Shelf column says whose shelf each movement was on: Yours or Customer’s.
  • Kept for a customer and Collected by the customer lines appear.
  • The opening and closing tiles split, such as 6 yours · 2 customers’.
  • A note says Counts bottles kept for customers in the quantity. Their movements are held at no cost, so they change the quantity on the card and nothing in the cost columns.

On All outlets

Every outlet's movements are one list in date order, with an Outlet column first. Balance is then headed Balance there: each line's balance is its own outlet's, because a shelf is at one outlet. The opening and closing lines are the outlets added up, marked All. A By outlet panel shows each outlet's Opening, In, Out, Closing, Cost in and Cost out.
