Card terminal payments (PBB, Fiuu)

A payment method linked to a PBB or Fiuu card terminal sends the amount to the terminal and waits for its answer. The terminal window, Check payment, Cancel, approved, not approved, could not be reached, may have been charged, an earlier approval on another bill, Save it again, and what the receipt prints. On the Windows and the Android POS.

When your restaurant's card terminal is linked to the POS, the cashier never types the amount on the terminal. Press Take on a card method, and the POS sends the amount to the terminal and waits; the guest taps or inserts the card; the POS writes the payment only when the terminal says approved for this sale. Nothing is added to the bill on any other answer.

The POS talks to the terminal on the shop's own network (or, on Windows, on a cable), so card payments work with the internet down. The payment is saved on the POS first, with the terminal's proof on it, and sent to the cloud after.

Before you start

  • The payment method is linked. In the back office, the method (for example Visa) has an Integration: PBB card terminal or Fiuu card terminal. See Card terminals and iPay88.
  • The terminal is set up on this POS. On the POS, Settings, Hardware, Payment terminals: the terminal's IP address and port, or on Windows its COM port. A method linked to PBB uses this POS's PBB; one linked to Fiuu, its Fiuu. See Card terminals.
  • The terminal is switched on, on the same network as the POS, and ready for a sale.

Take a card payment

  1. In the payment window, tap the card method, for example Visa.
  2. Leave Payment Amt empty for the whole amount due, or key the part this card pays. A card is never charged more than is due.
  3. Press Take RM 45.00. The terminal window opens over the payment window.
  4. The guest pays on the terminal: tap, insert or scan, and the PIN if it asks.
  5. When the terminal approves, the window closes by itself and the payment is on the bill. If it closes the bill, the window shows Paid.

The terminal window, part by part

Windows: the terminal has the sale. Check payment if the guest has paid and the window hangs.
  1. PBB card terminal over Visa: which terminal has the sale, and the method you chose.
  2. RM 45.00: the amount sent to the terminal.
  3. What the terminal is doing: Connecting to the terminal…, then Waiting for the terminal…. Before a sale the POS may first check the terminal's last sale: Checking the last card payment on this terminal first….
  4. Ask the customer to pay on the terminal.: the guest's turn.
  5. Check payment: for a guest who has paid while the window still waits. It stops waiting without cancelling and asks the terminal what happened to this sale. An approved sale is then written as any approval is.
  6. Cancel: cancels the sale on the terminal. While the terminal has the sale, Cancel is the only way out of the window.
  7. The hint: under the buttons while the window waits.

The window waits for the terminal's answer as long as Wait for the customer says on Hardware, Payment terminals: 30 s to 300 s, and 120 s until you change it (on Android: Wait for a payment (seconds)).

How it ends

What the window saysWhat it meansWhat to do
(The window closes by itself.)Approved for this sale. The payment is on the bill.Nothing.
Not approved: DECLINED (05). Nothing was charged. The bank or the terminal said no.Ask for another card, or take another method.
Cancelled on the terminal. You pressed Cancel, or the guest cancelled on the terminal.Take the payment again when ready.
The terminal could not be reached, so nothing was charged: …The POS could not open the line to the terminal.Check the terminal is on and on the network: The card terminal is not reached.
The terminal is busy with another payment on this POS. Wait for it to finish.A sale is already running on this terminal.Wait, then take again.
… The customer MAY have been charged. Look at the terminal or its slip before you try again. No answer the POS can trust came back.Look at the terminal or its slip before anything else (see below).

Each ending shows Close. Nothing is added to the bill unless the sale was approved.

Not approved: the reason, and nothing charged.
  1. The answer: red when nothing was charged, amber when the guest may have been charged.
  2. Close: back to the payment window. The bill is as it was.

When the guest may have been charged

The POS never charges twice for one sale. When a sale was sent and no answer it can trust came back (the line dropped, the terminal answered with an earlier sale's approval, or an answer for another payment), the window says The customer MAY have been charged. Look at the terminal or its slip before you try again.

  1. Look at the terminal's screen or its printed slip.
  2. Press Close, and press Take again on the same bill, with the same card method. Before any new sale, the POS asks the terminal about the open one by itself (Checking the last card payment on this terminal first…).
  3. If that sale was approved for this bill, it is recorded now, and nothing is charged again. If the terminal has no such payment, the new sale goes to the terminal as usual.

A sale left open shows on Settings, Hardware, Payment terminals, under A card payment not confirmed yet, with Check with the terminal and It was not charged. Press It was not charged only after looking at the terminal; it asks once more: Yes, the terminal shows no such payment.

When the payment could not be written

Very rarely the terminal approves but the bill cannot take the payment, for example because the shift was closed meanwhile. A red card says so at the top of the screen:

The terminal CHARGED this payment (approval 123456), but it could not be saved on the bill: no shift is open on this POS. Save it again, or void it on the terminal. Do not charge the customer again.

Press Save it again once the cause is fixed (for example, a shift is open). I have dealt with it closes the card when you have voided it on the terminal or recorded it otherwise.

A card method that is greyed

A linked method whose terminal is not set up on this POS is greyed in the grid. Chosen, it says why and takes nothing:

PBB is not set up on this POS: Hardware → Payment terminals

Set the terminal up on this POS, or take the payment by another method.

What the receipt prints

The receipt prints the card payment's proof under its row, in English: the card's scheme and last four digits, the approval code, and the terminal's numbers. The full card number is never printed or kept.

A card payment on the receipt: the proof under its row.
  1. The proof: scheme, the last four digits, the approval code (APPR), and the trace and invoice numbers.

Taking back or refunding a card payment

A card payment taken back from an open bill is voided on the terminal first, the same day, then taken back on the POS. If the terminal refuses, the dialog says why; once you have voided it on the terminal yourself, confirm again to record it voided by hand. See Take back a payment. A paid bill is refunded as in Refund a bill.

At the end of the day, settle the terminal: see Settle the card terminals.

On Android

On Android

The same flow, in a sheet that cannot be swiped away:

  • The sheet's title is the terminal: PBB card terminal or Fiuu card terminal, with the amount under it.
  • It first says Checking the payment on the terminal… while it checks the terminal's last sale, then Connecting to the terminal… and Complete the payment on the terminal., with Check payment and Cancel.
  • Approved, it says Recording the payment… and closes.
  • Its endings are worded for Android: Not approved: [05] DECLINED, The card terminal could not be reached (…). Nothing was charged., Cancelled on the terminal. The customer was not charged. With no answer it offers Check again and Close.
  • An approval that could not be written offers Record it: it is never charged again.
  • An approval for another bill offers Void it on the terminal, Checked by hand and Close.
  • Android reaches a terminal on the shop's network only. A terminal set to a cable says PBB is set to a cable on this POS, which Android cannot reach: Hardware → Payment terminals.
Android: the terminal sheet while the guest pays.
  1. Complete the payment on the terminal.: the guest's turn.
  2. Check payment: stop waiting and ask the terminal about this sale.
  3. Cancel: cancel the sale on the terminal.
