Boss app: Balances

The Boss app's Balances tab. Three balances as they stand now, each folding away. Stock balance (items, the low ones first, the stock value, search), Custody balance (what customers kept and have not collected, the last day to collect) and Pay later balance (what each customer owes, since when).

Balances shows what the restaurant holds and is owed right now, in three parts on one tab:

  • Stock balance: what is in the store room, the items running low first.
  • Custody balance: what customers have kept with you and not collected yet, such as bottles.
  • Pay later balance: what customers owe on their Pay later bills.

Each part has its total at the top and its rows under it, and folds away when you press its heading.

These are balances as they stand now. The days chosen in the top bar do not move them. The outlets ticked do: each part adds up the outlets ticked.

Before you start

Each part asks its own right, the one the back office asks for the same page. A part you may not see says so, alone:

The tab, part by part

Balances: the stock, what customers kept, and what customers owe.
  1. Stock balance: the heading, with how many items, such as 142 items (500+ items when there are more than are listed). Press it to fold the part away; press again to open it.
  2. The line under it: how many are low (6 low, or none low) and the stock value of what is on hand, at cost. While you search, it adds matching and your words.
  3. Item name or code: searches the store room by name or code. It follows a moment after you stop typing.
  4. An item: its name and code. A Low label when it is at or under its reorder level, with reorder at and the level. Across several outlets the label can say at how many, such as low at 2 outlets. The low items come first.
  5. On hand: the quantity and its unit. In red when it is below zero: more was sold than ever came in, which needs a delivery or a count.
  6. Custody balance: how many things customers have kept and not collected, such as 23 kept (a count of bottles, not money), and how many customer slips, 15 customer slips not yet collected.
  7. A customer slip: the customer and their phone.
  8. The last day: 5 days left, Last day tomorrow, Last day today, or Expired. Grey, amber in the last week, red when expired. The slips soonest to run out come first.
  9. What is kept: each item still on the shelf, with how many, and of 2 when part was already collected.
  10. The small line: when it was kept and by whom, collect by and the last day, with several outlets the outlet's name, and the slip's code, such as K-7QF3W2.
  11. Pay later balance: what customers owe in all, and under it owed by 4 customers on 9 bills.
  12. A customer: their name, how many bills they owe on, the oldest one's date and how many days ago, with several outlets the outlet's code, and what they owe. Who owes most comes first.

Long lists show fifty rows at first, with Show more (92 more) under them.

Find an item, a customer's bottle or a debt

  1. Open Balances.
  2. For an item: type its name or code in Item name or code under Stock balance.
  3. For a kept bottle: type the customer's name, their phone, or the item in Customer, phone or item under Custody balance.
  4. To see one outlet's balances: tick only that outlet in the top bar.

Where the figures come from

  • Stock balance is the back office Store Room: each item's quantity on hand, the items at or under their reorder level first, and the Store Room's own figures for the count, the low items and the stock value. Customers' kept bottles are not in it. The first 500 items are listed; search for the rest.
  • Custody balance is the back office Custody page's list of what is still on the shelf for customers. The 500 slips soonest to run out are listed.
  • Pay later balance is the back office Pay later outstanding report as at today: what each customer owes, since when, and its total.
