Void the bill

Cancel a whole bill with Void bill, on the Windows and the Android POS. The Void this bill window part by part, a new bill voided with no reason, the reason and What happened?, a manager's PIN for somebody who may not void, what the kitchen and the table do after, a bill with money taken, and every message.

Void bill cancels the whole bill: every dish on it comes off, the table is free again, and the kitchen is told. Use it for a party that leaves before eating, or a bill opened by mistake.

This cannot be undone. A voided bill cannot be opened again.

Before you start

  • The bill has no money taken on it. A bill with a payment cannot be voided: take the payment back first, or refund the bill once it is paid. See What if….
  • Void reasons are set up in the back office: Void / Discount Reasons, of the type Void. See Void / Discount Reasons.
  • Voiding a bill is a right: Void a line or bill, in your POS access group. Without it, a manager approves the void with their PIN. See POS access groups.

Void the bill

  1. On the sales screen, press Void bill (red, at the far left of the bar under the menu). It is grey while the bill is empty.
  2. The Void this bill window opens.
  3. Choose the Reason, and add a note under What happened? if you like. A new bill asks neither: see A new bill.
  4. If the window asks for a manager, the manager types their PIN.
  5. Press Void this bill.
  6. The POS goes back to the table screen. The table is free.

The Void this bill window, part by part

Void this bill (Windows), by somebody who may not void a bill.
  1. Void this bill: the window's name, on red.
  2. The whole bill is cancelled. This cannot be undone.: read it before you press.
  3. Value: the bill's total, all of which comes off.
  4. The manager's PIN: shown only when your rights do not include Void a line or bill. The manager types their PIN, and their Staff code (optional) if their PIN alone is not enough. It is checked on this POS, so it works without the internet. The manager must have the right themselves, and is recorded as the one who voided the bill.
  5. Reason: the switched-on Void reasons. The first is chosen when the window opens; the chosen one has a red edge.
  6. What happened? (optional): a note for the record. Left empty, the reason's name is recorded.
  7. Keep it: closes the window. The bill stays as it is.
  8. Void this bill: voids the bill. It says Voiding… while it works. Grey while there is no reason to choose, or while a PIN is needed and not typed.

A new bill

A bill with nothing sent to the kitchen and nothing paid is voided without a reason: the window shows only Value, the manager's PIN when one is needed, and the two buttons. A return on the bill counts as never sent. A member's registration fee counts as sent.

What happens after

  • The bill is voided on this POS at once, and the cloud is told after. It works without the internet.
  • The POS goes back to the table screen, and the table is free for the next party.
  • The kitchen is told at once: each station's printer prints a slip that the dishes it had are cancelled, and a kitchen display strikes them through. Dishes never sent print nothing.
  • The voided bill stays on record, with its reason, who voided it and the manager who approved it.

On Android

The window is the same, on red. The reasons are one under another, the whole width of the window, and the note's box says What happened? (optional) in one line.
