Calling orders from the POS
Tell a guest their order is ready from any POS. The Order board key and its window of today's orders, Preparing and Ready, with Call, Call again and Collected; the 📣 Call button on an open bill and on the Paid screen; what each press does on the boards; and every message.
On this page
Call tells a guest their order is ready, whatever the kitchen screens say. The order moves to Ready on every order board of the outlet at once, with "Now calling A023" across the board, the chime and the voice. Use it for an order nothing turns ready by itself (a drink from the bar, a cake from the counter), or to hurry one along.
You can call an order three ways:
- the Order board key under the table plan, which lists today's orders on the boards;
- 📣 Call on an open bill;
- 📣 Call A024 on the Paid screen of a bill with a queue number.
The same window also takes an order off the boards once the guest has it: Collected.
Before you start
- The outlet has at least one switched-on Order board POS. Without one, the POS shows no Order board key and no Call at all. A board added in the back office reaches the POS within about a minute.
- Calling on a bill needs the right to change orders. A System Button profile may hide the Order board key or Call. See System Button.
The Order board key
- 📣 Order board: opens the window of today's orders on the boards. Resting the pointer on it says Call an order to the Order board, or mark it collected. On a POS set to the sales screen only, the key is on the Bills screen.
The Order board window, part by part
- The line under the title: what Call does.
- Refresh: reads the list again now. It is read again by itself every five seconds while the window is open, and after every press.
- ×: closes the window. Esc does the same on Windows.
- What the last press did, in blue: see After a press.
- Preparing (2): the orders on a board that the kitchen is still cooking, and how many.
- The order's number: as the boards show it: the queue number first, a kiosk's number (A24), else the last digits of the bill number.
- Its order type and the guest's name, when it has them, such as Take Away · Siti.
- Sent 12:01: when it went to the kitchen. After a call, · called 12:05 too.
- Call: shows the order as Ready on every board now, with the chime and "Now calling A24". The order moves to the Ready list here.
- Ready (2): the orders that are ready on the boards.
- Call again: on a ready order that was called: the banner, the chime and the voice once more. On a ready order nobody called (the kitchen made it ready), the button is Call.
- Collected: the guest has it. It goes off every board at once, and off this list.
With no order on a board, the window says No orders on the board. While it reads them it says Reading the orders…. A ready order stays in the list until it is Collected, or for an hour after it became ready.
Call an order
- Press 📣 Order board under the table plan.
- Find the order by its number, under Preparing or Ready.
- Press Call. The button says Working… for a moment.
- The blue line says A24 is called on the Order board., and the order is under Ready.
Call an order again
A guest who did not hear the first call: call them again.
- Open 📣 Order board.
- Under Ready, press Call again beside the order.
The minutes before a ready order leaves the board start again from this call.
Mark an order collected
- Open 📣 Order board.
- Under Ready, press Collected beside the order.
- The blue line says A20 is collected. It is off the Order board.
Call from an open bill
On a bill this POS keeps, a 📣 Call button calls the bill's order without opening the window. It shows on an open bill that has a queue number, or a dish already sent to the kitchen. Resting the pointer on it says Show this order as Ready on the Order board, with the chime.
The green button is at the top of the order screen, beside the bill's name. It names the order as the boards show it: 📣 Call A23 for a kiosk's bill, the queue number when the bill has one, else the last digits of the bill number, such as 📣 Call 0021. After the press, the order screen's message line says what happened, such as 0021 is called on the Order board.
- 📣 Call 0021: calls this bill's order to the boards. It is grey while the call is being made.
The button is one of the bill's buttons in the bar under the menu, beside Reprint ticket: 📣 Call A024 for a bill with a queue number, else 📣 Call.
A POS that works through its Main POS on your own network has no Call on the bill: the bill is the Main POS's. Use the Order board key there.
Call from the Paid screen
When a bill takes a queue number as it is paid, its Paid screen has 📣 Call with that number, such as 📣 Call A024, under the receipt's buttons. Press it when the food is handed over. It says Working… while it calls.
After a press
A press is saved on the POS where it is pressed, first, and shown on the boards at once:
- on a Main POS, its own boards on your own network show it at once, and the cloud is told after;
- on a Sub or Waiter POS, it goes to the Main POS on your own network, whose boards show it at once;
- a board that gets its orders through the internet shows it once the cloud has it.
The same press made twice changes nothing, and presses that arrive late or out of order end the same way.
| The line after the press | What it means |
|---|---|
| A24 is called on the Order board. | Called. |
| A20 is collected. It is off the Order board. | Collected. |
| A24 is called. T01 did not answer on your own network, so it goes through the internet. | The Main POS T01 did not answer. The call is kept and goes to the boards through the cloud. |
