Bookings
The day's bookings on the POS, ordered by time. Move between days, mark a party Arrived, Seat them at a free table (a pre-order goes on the bill and to the kitchen), take a Deposit, mark a No-show or Cancel. Bookings need the internet. On the Windows and the Android POS.
On this page
The Bookings screen is the restaurant's booking book at the counter. It opens on today, with the bookings in time order, so the host sees the next hour at a glance. From it you mark a party as arrived, seat them at a table with one tap, take a deposit, or mark a no-show or a cancellation.
The list holds every booking of the day: the ones taken on the POS, in the back office's Reservations, and on your online booking page.
Before you start
- Bookings need the internet. A booking is kept in the cloud only, never on the POS, so two POS can never promise the same table. With no line, the screen cannot read the list or change a booking (see What if…). Everything else on the POS keeps working: a walk-in party is seated by tapping a free table, as always.
- Bookings and queue must be part of your plan. If it is not, the Bookings button is not shown at all. If your plan stopped including it while bookings were still to come, the button stays until they are dealt with, and the screen takes no new booking (see What if…).
- To take a new booking, see New booking.
Open the bookings
- On the table screen, press 📅 Bookings in the bar under the tables.
- The Bookings screen opens on today.
- 📅 Bookings: opens the day's bookings. The POS's System Button profile, set in the back office, may hide it on this POS.
The Bookings screen, part by part
This is the Windows POS. The Android POS is below.
- Bookings, and the line under it: the day on screen and how many bookings it has, Today · 4 in the book. Another day shows its date instead of Today, for example 2026-11-02 · 3 in the book.
- ◀ and ▶: the day before and the day after. The list is read again for that day.
- Today: back to today.
- New booking: the blue button. It opens the form for a booking taken at the counter or on the phone. See New booking. It is not shown when new bookings are not part of your plan.
- Close: back to the table screen.
- The time: the booked time, on the outlet's clock. The list is in time order.
- The status, in a small coloured label:
- Pending (amber): not confirmed yet.
- Confirmed (grey): a booking to come. A booking taken on the POS starts here.
- Here (green): the party has arrived and is waiting to be seated.
- Seated (blue): the party is at a table.
- Done (light grey): the booking is finished.
- No-show (red): the party did not come.
- Cancelled (light grey): the booking was cancelled.
- The party: how many guests, the table it was booked on (when it has one), and the phone number.
- The special request, in amber: what the guest asked for, as typed when the booking was made.
- Arrived: the party is here. The status becomes Here and this button goes. Use it when the guests arrive but their table is not ready yet.
- Seat: the blue button. It shows the free tables, and seats the party at the one you tap. See Seat a party.
- Deposit: takes a deposit for this booking. Shown only when deposits are on for the outlet and this POS takes payment. See Take a deposit for a booking.
- No-show: the party did not come. The status becomes No-show.
- Cancel: the booking is cancelled. The status becomes Cancelled.
- The pre-order, in green: the food the guest chose on the booking page after booking, with the total their page showed and the dishes. It is held in the cloud: nothing is cooked and nothing is paid until the party is seated. See Choose food after booking.
The buttons show only on a booking still to come: Pending, Confirmed or Here. A Seated, Done, No-show or Cancelled booking stays on the list with no buttons, so the host can see at a glance who has already come.
See another day
- Press ▶ for the next day, or ◀ for the day before. Press it again to go further.
- The line under Bookings shows the date, and the list is that day's.
- Press Today to come back to today.
If a day has no booking, the screen says Nothing booked for this day.
Mark a party as arrived
- Find the booking on the list.
- Press Arrived. Its status becomes Here.
- When their table is ready, press Seat (below).
You do not have to press Arrived first: Seat works on a booking that is Pending, Confirmed or Here.
Seat a party
- Press Seat on the booking.
- The window Seat Tan Mei Ling opens, with the tables that are free now. The table the booking was made on is drawn in blue and says · booked.
- Tap the table they sit at: the booked one, or any other free table.
- The party is seated at once. The window closes, the list says Tan Mei Ling seated., and the status becomes Seated.
- The table is now taken on the table screen. Tap it to add the order, as for any table.
- Seat Lim Wei Jie, and the line under it: who, how many guests, and the table it was booked on (· booked on table T5).
- The pre-order, when the guest chose food: its dishes, and what seating does with it.
- The booked table, ringed in blue, with · booked. Under each table: its seats, or free when it has no number of seats.
- Another free table: tap it to seat them there instead. A table with guests at it is not offered.
- Cancel: closes the window. Nothing changes.
While the window reads the tables, it says Reading the floor….
With a pre-order, seating does more: the pre-order becomes the table's bill and its kitchen tickets print at once, as an accepted QR order does. The list says Lim Wei Jie seated. The pre-order is on the table's bill and sent to the kitchen. If a dish of the pre-order cannot go on the bill (it is sold out, for example), the party is still seated, and the cloud's own sentence follows the words: that order then waits in the QR orders for that table, to accept or reject there. See Accept or reject QR orders.
Take a deposit for a booking
- Press Deposit on the booking.
- The deposit form opens, already filled in with the booking's name, phone, date, time and number of guests, and linked to the booking.
- Key the amount and take it, as any deposit. See Take a deposit.
When the party is seated from this list, the POS remembers which table the booking sat at. When that table's bill is paid, the payment window offers the booking's deposit first. See Use a deposit on a bill.
Mark a no-show or cancel a booking
- Find the booking.
- Press No-show if the party did not come, or Cancel if the booking is called off.
- The status becomes No-show or Cancelled at once, and the booking's buttons go.
On Android: the Bookings screen
The Android POS has the same list and the same buttons, with these differences:
- The new booking button says New, not New booking.
- On each booking the buttons are Arrived, No-show (in red), Cancel, Deposit, then Seat, in green and wider, at the end.
- A pre-order shows as one line on the booking, Pre-order: 5 items, RM 86.40. Its dishes are listed in the Seat window.
- Seat opens its window from the bottom of the screen. After the seat, the list says Lim Wei Jie seated., with a pre-order too.
- While the list is read, it says Reading the book….
- On a phone, or a tablet held upright, the top bar takes two rows: Bookings and Close on the first, the days and New on the second. Each booking's Seat takes a row of its own under the other buttons.
- New: the form for a new booking.
- Arrived, then Cancel and Deposit: as on Windows.
- No-show, in red.
- Seat, in green: the free tables, from the bottom of the screen.
A POS that works through the Main POS
On a Sub or Waiter POS whose Main POS is set to On your own network only, the list is read through the Main POS, and every button works through it, Seat and Deposit included. It is the Main POS that needs the internet then (see What if…). See Sub and waiter POS through the Main POS.
