Hand a kept item back

A guest comes back for their bottle. Scan their keep slip or find them by name or phone, choose how many to hand back, press Hand it back, and the slip prints where the drink is poured while the bottle goes on the bill at 0.00. It needs the internet, at the outlet that keeps the bottle. Plus Print the slip again for a lost slip. On the Windows and the Android POS.

When a guest comes back for a bottle they kept, you hand it back from its keep. The POS prints a slip where the drink is poured, puts the bottle on the guest's bill at 0.00, and takes it off the shelf. Nothing is charged: it was paid for on the night it was opened.

Before you start

  • The POS must be online. Only the cloud can say the bottle is still on the shelf; two POS guessing could hand out the same bottle twice. Looking a keep up works offline; handing it back does not.
  • At the outlet that keeps it. A bottle kept at one outlet is handed back there only.
  • Open the guest's bill first if they are eating or drinking, so the bottle goes on it. The way to do that is to scan the slip on the bill's sales screen (see Open the keep).

Open the keep

  1. With the guest's bill on screen (or on the table screen if they have no bill), scan the QR on their keep slip. Kept items opens on the keep.
  2. No slip? Press 🍾 Kept items on the table screen, type the guest's name, phone or the code from the slip, and tap their keep in the list. See Kept items.

The keep, part by part

This is the Windows POS; the Android POS is below.

A keep opened (Windows): the guest, the dates, the bottles, and Hand it back.
  1. ← Back: back to the list of everything kept, read again.
  2. Bill SO-0412: the bill the bottle was kept from, when it was kept from one.
  3. The guest: their name, phone and the keep's note.
  4. The code and the status: kept, part (some already handed back), collected, expired or written off.
  5. The dates: the day it was kept, the day to collect it by with the days left (or · past its last day), and the outlet that holds it.
  6. kept by: who kept the bottle (or who was signed in, for a keep made before staff were asked).
  7. The bottle: its name and 3 of 6 still kept: what is left of what was kept, with the line's note.
  8. How many to hand back: it starts at everything still kept. − and + change it; tap the number to type it. A bottle already collected says collected; one still kept that cannot be handed back here says on the shelf.
  9. Hand it back: hands the chosen bottles back. Greyed out when the keep cannot be handed back here, with the reason over it.
  10. Print the slip again: a replacement for a lost slip, with no QR. See Print a lost slip again.
  11. Write off: a manager's. See Write a kept item off.

Hand the bottle back

  1. Open the keep. How many to hand back already holds everything still kept.
  2. The guest wants only part of it? Lower the number with −, or tap it and type how many. The pad says How many to hand back and Tiger Pint · 0 to 3.
  3. Press Hand it back. It says Handing back… while the cloud answers.
  4. The slip prints where the drink is poured, and a line says what was done: 2 x Tiger Pint handed back to Rahman Ali. It is on the bill at 0.00, marked as a kept bottle. Still kept: 1 — collect by 2027-01-08.
  5. The keep stays on screen as it now stands. When nothing is left, the line ends Nothing is left on this keep.
On the bill: the bottle at 0.00, marked Kept bottle.
  1. The bottle on the bill: at 0.00, with Kept bottle under it, so nobody charges it again.

Where the slip prints

The slip comes out at the station that would get the first bottle's kitchen ticket, such as the bar. A bottle with no station, or a station with no working printer, prints at this POS's receipt printer, and the line says why: The slip printed at this POS instead. It is in English:

The slip for whoever pours the drink.
  1. What to pour: only what was handed back now.
  2. Still kept: what is left on the keep, and the day to collect the rest by.
  3. When, who and where: the time it was handed back, who was signed in, and the POS. The cloud records the same for the keep.
  4. Nothing to charge: so nobody rings it up again.

If the answer does not come back

Press Hand it back again. The POS sends the very same request, and the cloud answers it from the first one: the same bottle is never handed out twice, however often the button is pressed for one collection. Change the number, or hand back again after it worked, and it is a new collection.

A guest who lost their slip can be found by name or phone. Give them a new slip:

  1. Open their keep.
  2. Press Print the slip again.
  3. A replacement prints, with what is still on the shelf. The line says A replacement slip for K-M2P8QA has printed. It has no QR — the code is typed in.

The replacement carries no QR, and says so at the top: REPLACEMENT SLIP — the original is lost. There is no QR on this one: give the code above to the counter instead. The QR of the first slip cannot be made again, so a found slip and a new one are never both able to claim the bottle. At the counter, type the code from the replacement.

On Android: handing a bottle back

The Android POS has the same keep and the same steps, with these differences:

  • The top line holds the guest's name, then phone · code · Bill SO-0412 · kept by Aisyah, the status (77 days left) and Back.
  • A dish renamed since the slip printed shows its new name too: · now called Tiger Pint 330ml.
  • The green button says how many: Hand back 3 and print, or Choose what to hand back while nothing is chosen. Write off and Print the slip again are beside it.
  • Under the buttons: A slip prints where the drink is poured, and the kept item goes on this bill at 0.00. It was paid for on the night it was opened. Opened with no bill: A slip prints where the drink is poured. Open a bill first if the kept item should also appear on one at 0.00.
  • Done, the green line says Handed back to Rahman Ali. Still kept: 1., or Nothing left on this keep.
  • On a tablet held upright, the keep scrolls and the buttons stay at the bottom.
A keep on an Android tablet.
  1. The guest's line: phone, code, the bill and who kept it.
  2. Hand back 3 and print: says how many will be handed back.
  3. The hint: where the slip prints and where the bottle goes.
