Some staff take orders but should not handle money: a waiter on a till, a trainee. Their POS access group does not include taking payment. They can still ring the bill up to the end; when they press Pay, the POS asks for a manager. The manager types their PIN, and the payment goes through in the manager's name.

Before you start

  • Who needs it. A person whose POS access group does not tick Edit on Take Payment. See POS access groups.
  • Who can approve. A person whose own POS group does allow taking payment, with a PIN. They need not be signed in.
  • The POS knows its people. The PIN is checked on this POS, against the list of people it keeps. The POS learns that list from the cloud, which needs the internet once. After that, approvals work with the internet down.

When it is asked

The window opens when the person presses Pay on the sales screen, Payment in a table's window, or Pay under a split bill. It comes after the POS's own checks (that this POS takes payment, and that a shift is open), and before the payment window opens. Nothing is taken until it is approved.

Manager approval for payment: the manager's PIN lets this bill's payment through.
  1. Manager approval for payment: the window's title, on the navy bar.
  2. Pay RM 45.00: the bill's total, as Pay said it.
  3. Why it is asked: The person signed in may not take payment. A manager's staff code and PIN let this bill's payment through, and the manager is recorded as taking it.
  4. PIN: the manager's PIN. It is the one box that must be filled. The digits are hidden.
  5. Staff code (optional): the manager may type their staff code too. With it, a refusal names the person; without it, the PIN alone finds the manager.
  6. Cancel: closes the window. No payment window opens; the bill stays as it is.
  7. Approve: checks the PIN on this POS. It is grey until a PIN is typed.

Approve a payment

  1. The cashier presses Pay RM 45.00. The window Manager approval for payment opens.
  2. The manager types their PIN, and, if they like, their Staff code (optional).
  3. The manager presses Approve.
  4. The payment window opens. Under the amount due it says Approved by Siti: the payment is recorded as theirs.
  5. Take the payment as usual.
The payment window after an approval says who approved it.
  1. Approved by Siti: the payment is recorded as theirs.: every payment taken in this window, and a Close bill, goes to the cloud as taken by Siti.

What the approval covers

  • This bill only. Every payment and a close for nothing on this bill, while it is on the screen. Going back to the bill and pressing Pay again does not ask again.
  • It ends when the bill leaves the screen: back to the tables, another bill, or the split screen. The next bill asks again.
  • The manager is not signed in by it. The person at the till stays signed in as themselves.
  • Taking a payment back is a separate right, with its own approval: see Take back a payment.

The same window, as a sheet: Manager approval for payment, Pay RM 45.00, the line why, the PIN box and the Staff code (optional) box, Cancel and the green Approve. On a phone or a tablet held upright, only the middle of the sheet scrolls, so Cancel and Approve stay above the keyboard. The payment window then says Approved by Siti: the payment is recorded as theirs.
