The booking confirmation email

The email a guest receives after booking a table online. Who sends it and when, its subject, every line of it, the See your booking button, and what is not emailed.

On this page

When a guest books a table on the restaurant's booking page, the restaurant emails the booking to them: the outlet, the day and time, the party, the booking number, and the booking's own link. The guest keeps it to find the booking again, or to cancel it.

When it is sent

  • Once, right after an online booking. The guest typed an email address on the booking page: it is needed there. See Book a table online.
  • In the background. The confirmation page shows at once, with We’ve e-mailed your booking to …. The email follows within a few minutes. An email that is slow or fails never undoes the booking.
  • Only once. A booking pressed twice is one booking, and one email.
  • Only for a booking made online. A booking taken by staff, in the back office or on the POS, is not emailed, even when an email address is typed for it.

The email, part by part

The confirmation email, as it opens on a phone.
  1. The subject: Your booking at “Demo Kitchen” — Sat 17 Oct, 7:30 pm, with the restaurant's name, the day and the time.
  2. The restaurant's name, at the very top. The letter is the restaurant's: FooodPos is named only at the foot.
  3. Your table is booked: the heading.
  4. The opening: Thank you, Aisyah. “Demo Kitchen” has your booking, and it is confirmed.
  5. The details: Where (the outlet), When (the day in full and the time, on the outlet's own clock), Guests, Name and Booking number.
  6. The booking's own page: why to keep the link.
  7. See your booking: opens the booking's page, where it can be seen, and cancelled while it is waiting or confirmed. See See or cancel a booking.
  8. Choose your food now: this line is there only when the outlet offers it. See Choose food after booking.
  9. The outlet: its name in capitals, its address, and Telephone with its number, when the outlet has them.
  10. The note: why the email came, and that replies are not read. Questions go to the restaurant, by its telephone.
  11. The foot: Booked through FooodPos.

Below the button, Or copy this link: gives the same address in full, for a mail app that does not show buttons. The email also has a plain text part with the same lines.

Who it comes from

The email comes from FooodPos's own sending address. The mail app may show that address's name beside it, but the restaurant's name is in the subject and at the top of the letter. Nothing in the letter is loaded from another site, so it reads the same with pictures switched off.

What is not emailed

  • A change or a cancel. If the guest cancels, or the restaurant changes or cancels the booking, nothing more is sent.
  • The restaurant. Staff see the new booking in Reservations and on the POS's Bookings, with its source Online.
  • A text message or WhatsApp. None is sent.
