Keep an item for a guest
Put a guest's unfinished bottle on the shelf and print their keep slip. The customer's name and phone, who kept it, the bottles from the counted menu, how many, Save and print the slip, the slip itself, and Keep another. It works with the internet down. On the Windows and the Android POS.
On this page
A guest who leaves a bottle unfinished can keep it with you. You put it on the shelf, the POS prints a keep slip with a short code and a QR, and the guest takes the slip home. When they come back, the slip (or their name or phone) finds the bottle again.
Keeping works with the internet down. The code and the QR are made on this POS and the slip prints at once; the keep goes to the cloud by itself when the line is back.
Before you start
- The bottle must be counted in stock. Only dishes with Track stock ticked in the back office (Items) are offered. A bottle kept was paid for on the night it was opened: keeping it charges nothing.
- Have the guest's name ready, and their phone if they will give it. The phone lets you find the bottle when the slip is lost.
- Who kept it. When your outlet has staff in the back office (Staff), the POS asks which of them kept the bottle, and prints it on the slip.
Open Keep an item
- On the table screen, press 🍾 Kept items.
- Press Keep an item at the top.
The Keep an item tab, part by part
Three columns over one row: who the bottle is for on the left, the bottles in the middle, the slip on the right, and the button that saves and prints along the bottom. This is the Windows POS; the Android POS is below.
Customer
Customer nameOn the slip
- Keep an item: the tab you are on.
- Customer name: required. Type it the way the guest will ask for it (How they will be asked for it is the box's grey hint). It is how the keep is found again.
- Phone (optional): the guest's phone. With it, a guest who lost the slip is found by phone.
- Note (optional): anything about the keep, printed on the slip, such as Half a bottle, sealed.
- Staff: who took the bottle and kept it. Press Choose who kept it, pick the person, and their name shows here with Change beside it. It is required while your outlet has staff in the back office, and not asked at all when it has none.
- What is being kept: type to narrow the bottles below.
- The bottles: only what is counted in stock, as tiles like the sales screen's, with the price. Tap one to put it on the slip; tap again for another one. A bottle on the slip is blue and says 1 kept.
- The number: how many of this bottle are kept. − and + change it by one. Tap the number to type it on the number pad (see Type how many).
- Remove: takes the bottle off the slip.
- Nothing is charged: keeping a bottle is not a sale. It was paid for when it was opened.
- The hint: the slip prints at once, with or without the internet.
- Save and print the slip: saves the keep and prints the slip. While it saves it says Saving…. It is greyed out until someone is chosen under Staff.
Keep a bottle
- Type the guest's name in Customer name, and their phone in Phone (optional) if they give it.
- Press Choose who kept it. The window Who kept it? lists the outlet's staff, with a search box. Tap the person.
- Tap the bottle in the middle. It goes on the slip on the right with 1.
- More than one? Press +, tap the bottle again, or tap the number and type it.
- Press Save and print the slip.
- The slip prints. Give it to the guest, and put the bottle on the shelf.
The screen now shows what was kept, in large letters, so the code can be written on the bottle if you like:
- The code: the keep's code, as on the slip.
- Collect by: the last day the guest can collect it: the outlet's Custody days from today (90 in a new outlet).
- Print the slip again: prints the same slip once more, with its QR. Use it when the first one jammed or tore.
- Keep another: an empty form for the next guest.
A line over the screen says the same: Kept for Lim Wei Ming, code K-7QF3W2. Collect by 2027-01-21. The slip has printed. With the internet down it adds Saved on this POS and queued for the cloud.
Type how many
Tap the number on the slip. The number pad opens over the screen.
- Now 1.: what the slip holds, and what to type.
- The entry: shows the slip's number in grey until you press a key. Typing 3 makes it 3, never 13.
- OK: sets the number. Cancel changes nothing.
The PC keyboard types on the pad too: the digits, Backspace, Delete to clear, Enter for OK and Esc to clear or close.
The pad keeps to the same limits as − and +: a bottle is kept whole (a dish sold by weight may take a point), and at most 999 go on one line. 0 does not take the bottle off the slip: press Remove for that.
The keep slip
The slip prints on this POS's receipt printer, in English, whatever the POS's language.
- The code: what the guest reads out if the QR will not scan.
- The bottles: each one and how many.
- Collect by: the last day to collect it. Under it, when it was kept, who was signed in (Served by) and who kept it (Kept by). Kept from a bill, the bill's number prints too: Bill SO-0412.
- The QR: scanned when the guest comes back, it opens the keep at once.
On Android: keeping a bottle
The Android POS has the same three columns and the same steps, with these differences:
- The tab is called Keep.
- The phone box is called Phone, with So they can be found without the slip. under it.
- When Kept items was opened from a bill, On this bill over the bottles offers up to three of the bill's dishes, one tap each.
- A bottle's barcode scanned on the Keep tab goes on the slip.
- There is no Remove. Press − at 1 to take a bottle off the slip. On the pad, 0 says 0 does not take it off the slip — press − at 1 for that.
- The button is Keep and print the slip (Keeping… while it saves), with The slip prints straight away with a QR and a short code, whether or not this POS can reach the cloud. Give it to the customer — it is how they get the bottle back. beside it.
- After saving, the slip prints and the form empties for the next guest. A green line says Kept for Lim Wei Ming., or with the internet down Kept on this POS. The slip is printed; the cloud gets the keep when the connection returns.
- On a phone the three columns are one page that scrolls, with the button fixed at the bottom.
