Promotions on the bill
How promotions show on the bill, on the Windows and the Android POS, and how to apply one the cashier puts on by hand. The Promotions window part by part, tap to apply and tap again to take off, a promotion that needs a manager, why a promotion does not apply, and what a promotion does to a voucher.
On this page
A promotion takes money off by itself, by rules set in the back office: a happy hour, buy 2 get 1, 10% off a bill over RM 100. There are two kinds:
- Automatic: it goes on every bill it fits, by itself. You do nothing.
- By the cashier: the POS offers it, and you put it on the bills that should have it, such as a student lunch or a birthday treat. You do this in the Promotions window.
Promotions work offline: the POS prices them from its own copy of the rules at once, and the cloud checks them again when the bill reaches it.
Before you start
- Promotions are made in the back office: Promotions. Each says whether it is applied Automatically or By the cashier, and whether it Needs a manager to apply. See Promotions: when, where and how.
- Applying a promotion by hand needs Apply a promotion, in your POS access group. One that needs a manager is applied by somebody who also has Void a line or bill, signed in on this POS. See POS access groups.
Promotions on the bill
- A promotion on a dish: in green under the dish's line, with its name and what it takes off: Kopi Happy Hour −1.50. pending beside it until the cloud's own figures confirm what this POS worked out.
- A free dish: FREE ×1 (Buy 2 get 1) under the line the free one is on.
- A promotion on the whole bill: in the totals by its name, such as Spend RM 100 get 10%, above Discount, the sum of everything taken off. One that takes nothing now is amber and says why.
A buy X get Y promotion never adds the free dish by itself: a green chip under the bill offers it, and you tap it. See Add dishes to the bill.
The Promotions window, part by part
Press Promotions on the bar under the menu. It is grey while the bill is empty.
- Promotions: the window's name.
- Tap one to apply it to this bill, tap it again to take it off.
- A promotion on the bill: green edge, On the bill — tap to take it off, and what it takes off. One on the bill that takes nothing now is amber: On the bill, takes nothing now: and why.
- A promotion you can apply: Tap to apply, and what it saves. Tap it: it goes on the bill.
- A promotion that needs a manager: Needs a manager: ask one to sign in on this POS to apply it. It cannot be tapped by somebody without the right.
- A promotion that does not fit this bill now: greyed, with why, such as needs a bill of RM 50.00.
- Not applied to this bill: the automatic promotions that are not on this bill, each with why. Nothing to tap here: they apply by themselves once the bill fits.
- Close: closes the window.
When the bill has a promotion or a discount that cannot be combined, a line at the top says so: Kopi Set cannot be combined with anything else, so no other promotion or voucher applies to this bill. With no promotion at all to show, the window says No promotions to apply here.

- Ask the manager to sign in on this POS.
- They open the bill, press Promotions, and tap the promotion.
- They sign out, and you sign in again.
Why a promotion does not apply
The window, and the totals, say why in a few words:
| It says | What it means |
|---|---|
| outside its hours or days | It runs at other hours, or on other days. |
| not running today | Today is outside its valid dates. |
| nothing on the bill qualifies | None of its dishes is on the bill. |
| not enough items for it yet | It needs more of its dishes, such as 2 for buy 2 get 1. |
| needs a bill of RM 50.00 | The bill is below its minimum spend. |
| the items already carry a manual discount | Its dishes have a discount keyed by staff, and it skips such lines. |
| cannot be combined with Kopi Set | Another promotion or voucher on the bill cannot be combined. |
| another promotion already took these items | Another promotion is on those dishes already. |
| the free item is not on the bill yet | Tap the green chip to add the free dish. |
| not for this outlet | It is for another outlet. |
| switched off in the back office | It is not active. |
Promotions and vouchers
- A promotion wins over a voucher it cannot be used with. When such a promotion starts to apply (a dish added, an hour begins, a promotion applied by hand), the voucher comes off the bill by itself, and the POS says once: Voucher RM10OFF was taken off: it can't be used with Kopi Set. The customer keeps it. The guest can use the voucher another time.
- A voucher arriving on a bill where such a promotion is already applying is refused. See A voucher on the bill.
- A discount keyed under a reason that cannot be combined switches the promotions off. See Discount the bill or a dish.
When the cloud's figures differ
The cloud works the bill's promotions out again when it receives it. When it decides otherwise than this POS, an amber line at the top of the bill says what changed, such as SO-0412: Kopi Happy Hour no longer applied by the cloud, −1.50. The cloud's figures are the bill's. The bill then uses the cloud's figures.
